About the role
Seeking a highly organized, customer-focused Real Estate Assistant/Transaction Coordinator to support the growing Manufactured Housing Community Management Company and Home Dealer. In this role, you will be responsible for managing the full prospect-to-resident pipeline, coordinating financing and transactions, ensuring documentation and compliance, delivering an exceptional customer experience, and contributing to overall sales strategy and execution.
Responsibilities:
Sales & Pipeline Oversight
- Manage and oversee the full prospect-to-resident pipeline across CRM systems like HubSpot
- Ensure timely progression of leads from inquiry to showing, application, and closing
- Identify stalled or at-risk deals and implement re-engagement strategies
- Coordinate showings and maintain alignment between prospects and community teams
Financing & Transaction Management
- Coordinate with lenders like ParkLane Finance, AutoMHatic, and 21st Mortgage to facilitate deal approvals
- Submit applications, track conditions, and ensure all stipulations are cleared prior to closing
- Communicate financing outcomes and guide prospects through next steps
- Oversee transaction timelines to ensure efficient and on-time closings
Documentation & Compliance Control
- Prepare and review purchase agreements, leases, addendums, and disclosures
- Ensure all pricing, taxes, and fees are accurately structured and documented
- Maintain organized digital records for all transactions and lender requirements
- Coordinate notaries and manage post-closing document submission
Customer Experience & Conversion
- Serve as the primary contact for prospects throughout the sales and leasing process
- Guide customers through applications, approvals, and move-in procedures
- Deliver a high-quality, responsive experience to increase conversion and referrals
- Solicit and manage online reviews and customer feedback
Marketing & Lead Flow Support
- Monitor lead flow and provide feedback on performance
- Ensure listings are accurate, updated, and aligned with current availability
Operations & Inventory Coordination
- Coordinate with internal team members on home offline timelines and incoming inventory planning
- Communicate with builders and reps including Clayton Homes, Champion Homes, and Adventure Homes
- Track home readiness status (arrival, set, rehab, show-ready) across communities
- Ensure alignment between sales, operations, and inventory availability
Performance Tracking & Accountability
- Track key metrics including lead volume, conversions, and homes placed
- Assist in preparing monthly KPI reports and performance summaries
- Monitor pipeline activity and ensure consistent follow-up standards
- Provide visibility into deal status and sales performance trends
Process Improvement & Strategic Support
- Identify inefficiencies in sales and operational workflows and recommend improvements
- Support pricing strategies and promotional initiatives to drive occupancy
- Assist in standardizing processes and improving sales system scalability
- Contribute to overall sales strategy and execution
Qualifications:
- 2+ years of experience in a real estate, sales, or customer service role
- Strong organizational and multitasking skills with attention to detail
- Excellent communication and interpersonal abilities
- Proficient in CRM systems like HubSpot and basic property management software
- Familiarity with real estate financing, transactions, and documentation
- Ability to work independently and as part of a team
- Passion for providing an exceptional customer experience
- Willingness to learn and adapt to new processes and technologies
