The Administrative Assistant, Marketing is responsible for providing administrative support to the Marketing Department for Ultra Records and helping to ensure the efficient day-to-day operation of the department.

Responsibilities

  • Schedule meetings, arrange travel and provide admin support for the Marketing Department.
  • Act as a liaison between Product Managers, Finance department and a wide array of internal and external contacts including senior management, outside industry contacts, vendors, artist managers, internal departments, etc.
  • Build and maintain relationships with the vendors, artists, management, marketing departments, as well as executives and other departments within the company.
  • Create copy & maintain mailing and e-mail lists, databases, files and other assets for the department.
  • Setting up artist buy links and pre-save campaigns
  • Assist with gathering metadata and other materials for pitching music to DSP editors.
  • Assist with DSP pitch forms.
  • Taking minutes for weekly meetings.
  • Update weekly status reports and sales information on behalf of Ultra artists.
  • Help coordinate and manage budgets, promotional trips, travel, work orders and marketing plans for artists.
  • Coordinate with the Finance Department and Marketing Product Managers to:
    • Set up new vendors – including collecting and reviewing relevant tax documentation.
    • Create purchase orders (POs).
    • Process and prepare invoices for payment.
    • Assist with maintaining and tracking of marketing budgets.
 
  • You are an enthusiastic and organized individual with previous admin experience in marketing or a related field.
  • You must be a team player; have the ability to create & maintain strong relationships with co-workers, artists, managers, attorneys, etc.
  • Being passionate about electronic music is a plus!
