The Temporary Luxury Inbound Registrar is an integral part of the inventory and receiving process, ensuring that all relevant information about each work is recorded accurately and the movement of the property is conducted safely and efficiently. The successful candidate will have the ability to thrive in a fast-paced environment, prioritize numerous concurrent projects, and condition and handle a wide array of luxury goods including handbags, fashion accessories, streetwear, and modern collectibles. This is a 6-month contract.
Responsibilities
~1 min read- →Examine, photograph, and record property upon its arrival to document and verify logistical attributes, including piece count, dimensions, etc.
- →Direct received property to cataloguing, photography, appropriate storage location, and updating scans as needed
- →Liaise with Luxury Departments to confirm property arrival and verify inbound paperwork (incl. shipping labels, inbound tracking information, etc.) to confirm all is accurate and reflects scheduled property movements
- →Coordinate inbound shipments of property with Sotheby’s Shipping department and third-party shipping companies
- →Assist with absorbing property returns, notifying appropriate Marketplace contacts to systematically update item(s) as needed and coordinate next steps
- →Oversee stages of Peer fulfilment process, including light receiving to confirm condition, liaising with Third Party Authenticator and Outbound Coordinator
- →Maintain the integrity of the Operational procedures and comply with Risk Management/ Security Department requirements
- →Maintain paperwork and records for audit purposes: reporting any discrepancies to the appropriate colleague (Inventory Manager, Risk Management, etc.)
- →Travel as needed to condition, tag and oversee the receiving process remotely
- →Maintain and upload all inbound records to an internal database for external audits and internal reference
- →Work with manager to improve overall process efficiencies and reduce waste
- Bachelor’s degree
- Minimum 2 years Registrar/collections management experience a plus
- General overall knowledge of the fine and decorative arts
- Excellent attention to detail
- Ability to handle property in a skillful and careful way with a good working knowledge of safety procedures
- A team player who works with other colleagues to complete tasks and activities
- Strong communication skills with the ability to interact with a wide range of people
- Superior organizational skills with the ability to prioritize multiple tasks with speed and efficiency
- Excellent time management skills in a fast-paced environment
- Flexibility to work overtime and weekend hours when necessary
The expected hourly rate for this position ranges from $23.00 - $25.00/hour. Employees in this role may be expected to work overtime, and will receive additional pay at the applicable overtime rate. In addition to hourly wages and overtime, successful candidates will be eligible for benefits as required by law. Our offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
