As we continue to grow, we are looking for a sharp, proactive, and highly organized Group Executive Admin to keep our leadership team running at full speed.

The Group Executive Admin will provide comprehensive administrative support to Sureify's executive team — including the CEO, President, CFO, CTO, CCO and CBDO. This is a group-facing role: you'll serve each executive's individual needs while also acting as the connective tissue across the team to keep priorities aligned and operations humming. The ideal candidate is a confident self-starter who thrives in a fast-paced environment, handles competing priorities with calm professionalism, and exercises sound judgment with sensitive information. You'll hold the group together — keeping everyone coordinated, informed, and moving.

Responsibilities

Because each executive has different working styles and needs, this role requires flexibility and situational awareness. The responsibilities below cover the most common areas of support across the team.

  •       Executive Team Coordination: Serve as the primary liaison and go-between for the executive team. Align projects, agendas, action items, and decisions across the CEO, President, CFO, CTO, CCO and CBDO. Facilitate daily standups with the exec team to surface blockers, sync priorities, and keep everyone on the same page.
  •       Calendar Management: Own and actively manage calendars across the executive team. Coordinate availability, resolve double-bookings, maintain open windows for travel and focused work, and ensure the right people are in the right meetings at the right time.
  •       Travel Arrangements: Handle travel logistics end-to-end — flights, accommodations, ground transportation, and detailed itineraries. Proactively anticipate and resolve travel issues, changes, or conflicts as they arise.
  •       Executive Meetings & Board Coordination: Manage logistics and coordination for exec team meetings, all-hands, and board meetings. Own the agenda prep, materials distribution, and any follow-up action item tracking.
  •       Expense Reporting: Coordinate and submit expense reports on behalf of the executive team in partnership with the accounting team. Ensure timely and accurate processing.
  •       Document Management: Proofread, edit, and organize documents, reports, and presentations. Maintain confidential and well-structured records and files for the leadership team.
  •       Ad Hoc Executive Support: Take on a variety of requests from individual executives as needs arise — from research and communications to special projects and cross-functional coordination.

Requirements

  •       AA or Bachelor's degree preferred.
  •       3+ years of experience supporting senior leaders or an executive team.
  •       Experience managing multiple principals simultaneously — group EA or chief of staff adjacent experience a plus.
  •       Strong project management skills and the ability to juggle competing priorities without dropping the ball.
  •       Excellent written and verbal communication skills.
  •       Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar).
  •       Familiarity with project management and task-tracking tools.
  •       High level of discretion — comfortable handling sensitive and confidential information.
  •       Availability to work in-person on Tuesdays and Thursdays when the team is in office.
  •       Proactive and solution-oriented — you anticipate needs before they become problems.
  •       Confident and direct, with a humble, team-first attitude.
  •       Trustworthy and discreet — executives will rely on you with sensitive information.
  •       Calm under pressure, adaptable to shifting priorities.
  •       Positive, professional, and easy to work with — you like people and it shows.
  •       You don't take yourself too seriously. We work hard and like to have fun doing it.
