About the Role
~1 min readGersh is looking to hire a Senior Associate (Coordinator), to support the Personal Appearances, Signings, and Conventions Department. This role plays a key role in supporting the booking, strategy, and execution of talent appearances, fan convention appearances, autograph signings, promotional events, and brand partnerships. This position works closely with agents, managers, clients, promoters, brokers, and buyers to help identify opportunities, manage relationships, and ensure successful deal execution. [*Note: Candidates will be considered for either the NYC or Beverly Hills, CA office locations.]
The ideal candidate is proactive, collaborative, highly organized, and passionate about entertainment, talent representation, and live events. This role is best suited for someone interested in developing a career in conventions, autograph and trading card signings, and personal appearances.
The Gersh Conventions department connects their clients (actors, athletes, and other recognizable talent) with the producers and promoters of fan-based conventions (“Comic Cons”), events, private autograph signings, and other similar appearances. This department facilitates all aspects of talent representation and coordination including pitching for and procuring paid opportunities, negotiating deals, facilitating payments, creating detailed itineraries, and covering clients on a global scale. This position will report to the Department Head (Vice President, Personal Appearances, Signings, and Conventions).
- Support Personal Appearances, Signings & Conventions department in securing and managing talent bookings for appearances, conventions, signings, and promotional events.
- Communicate directly with promoters, event organizers, buyers, brokers, and clients regarding booking opportunities and event logistics.
- Build and maintain strong professional relationships with industry partners and talent representatives.
- Assist in evaluating incoming offers, preparing deal terms, and tracking booking activity.
- Coordinate and oversee talent travel, event schedules, and appearance-related deliverables.
- Prepare booking materials, appearance schedules, and client presentations.
- Monitor industry trends, convention calendars, and emerging appearance opportunities.
- Collaborate with internal departments on marketing, branding, publicity, and client initiatives.
- Help manage event attendance and provide on-site support when required.
- Track contracts, payments, and appearance obligations to ensure smooth client and promoter experiences.
- Contribute ideas to help grow client visibility, fan engagement, and business opportunities.
- Maintain accurate booking records and client information within agency systems.
Requirements
~1 min read- Bachelor’s Degree required.
- Minimum 2+ years of full-time experience in entertainment, talent representation, live events, media, sports, partnerships, or client services.
- Must have an authentic interest in and knowledge of pop culture, live events, fan-based "Comic Cons," events and other similar appearances.
- Must have an authentic interest in talent representation.
- Excellent communication, relationship-building, and organizational skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
- Professional demeanor when interacting with clients and industry professionals.
- Proficiency in Microsoft Office Suite and Airtable.
- Ability to work occasional evenings, weekends, and travel for events as needed.
- Proficiency in additional languages aside from English is welcome but not required.
- Familiarity with booking processes, live event operations, and convention culture.
- Knowledge of celebrity appearances, fan expos, and branded promotional events.
- Experience coordinating partnerships, activations, or client-facing projects.
