Job Summary
Payroll Tax Rep III – Amendments (Level 3) is responsible for the preparation, generation, and filing of federal, state, and local amended payroll tax returns. This role serves as a subject matter expert for tax amendments and works closely with internal teams and agencies to ensure accurate corrections, timely filings, and resolution of tax discrepancies. The role requires strong technical payroll tax knowledge, attention to detail, and the ability to manage complex amendment cases through resolution.
Payroll Tax Rep III role has tax knowledge and requires the ability to interact with tax agencies, manage case portfolios, and contribute to timely resolution while meeting service level agreements.
Key Duties and Responsibilities
• Prepare, generate, and file amended federal, state, and local payroll tax returns, including but not limited to Forms 941 X, state withholding amendments, SUI amendments, and local tax corrections.
• Monitor amended filings through agency processing and follow up as needed to confirm acceptance and posting.
• Ensure compliance with federal, state, and local payroll tax regulations while maintaining up to date knowledge of tax law changes.
• Identify trends, root causes, and opportunities for process improvement related to payroll tax amendments and filing accuracy.
• Support training and knowledge sharing for lower level tax representatives on amendment best practices.
• Handle moderately complex to complex cases with independence.
• Perform QTD and YTD reconciliation of wages and tax amounts (withheld, reported, and deposited).
• Ensure a payment record is created for any amount due amendments.
• Demonstrate working knowledge of TPA and POA processes.
• Escalate high-complexity issues to manager when required.
Required Qualifications
Experience
• Strong working knowledge of U.S. payroll tax filings and amendments (Federal, State, and Local).
• Experience preparing and filing payroll tax amendments.
• High attention to detail and ability to manage multiple amendment cases while meeting SLA.
• 3+ years of U.S. payroll tax experience, with a strong emphasis on amendments.
• Experience with MasterTax or similar payroll tax processing software.
• Experience using Salesforce or similar case management systems.
• Exposure to multi-state tax environments preferred.
• Experience interacting with tax agencies.
Skills & Competencies
• Strong analytical and problem-solving skills.
• Good written and verbal communication skills.
• Attention to detail and accuracy.
• Ability to manage multiple tasks and meet deadlines.
• Strong follow-up and organizational skills.
• Proficiency in Microsoft Excel and Word.
• Ability to work independently and in a team environment.
