The mission of the University of Denver Transportation and Supply Chain Institute (TSCI) is to create a distinguished network of freight and supply chain transportation leaders - through education, research, and outreach - who can successfully integrate the transportation modes to develop sustainable logistics solutions that produce both customer-focused supply chains and market-responsive cargo transportation. The University of Denver (DU) offers an executive Master of Science in Transportation Management and customized corporate programs designed to develop the next generation of leaders in these industries.

The Manager of Operations is responsible for supporting the Transportation & Supply Chain Institute and the Executive Director to facilitate administrative and financial soundness and success including DU/College of Professional Studies (PSC) administrative and academic requirements. The Manager of Operations will interact with and manage TSCI Board relationships and administrative requirements in conjunction with the Executive Director.

  • Support the Executive Director with the efficient and compliant execution of TSCI operations.
  • Responsible for developing annual operating budget and working with Executive Director to create a zero-based operating plan.
  • Responsible for monitoring the operational expenses within the monthly annual budget and reviewing with Executive Director and Executive Board. 
  • Monitor all current-year budget activity including keeping detailed records of all the Institute financial and scholastic (scholarship) commitments.
  • Review expense reports and reimbursements for faculty, staff, and guests. Communicate and maintain travel and expense policies for faculty, staff, and guests to ensure the most up to date information.
  • Manages receipt of scholarship funds from TSCI Board companies and maintain scholarship funds to ensure accurate balance.
  • Administer scholarship funding to students and manage contributions between grantors and TSCI, including submission and tracking of applications.
  • Responsible for the administration of external partnerships (NATMI, etc.) in collaboration with internal and external parties.
  • Oversee the marketing strategy and support the marketing team by ensuring they have consistent and relevant content to distribute.
  • Involvement in TSCI recruiting efforts (students and board members) with the Executive Director and Executive Committee.
  • Responsible for administrative support for the Board of Directors, including but not limited to, facilitating communications, organizing meetings, and managing special projects as requested.
  • Responsible for collecting and processing receipts of annual giving funds from TSCI Board members, tracking collections, and reporting to board members.
  • Manage TSCI Board membership list, including election and onboarding of new board members, communicate administrative and structural changes/issues; provide accurate and timely information to the College of Professional Studies.
  • Coordinate with Executive Director to schedule and facilitate board committee meetings, including assisting board members with executing committee work.
  • Responsible for planning TSCI Board meetings in the fall and spring. Responsible for all aspects of event planning, managing reservations, securing space and catering contracts, and communicating with internal and external constituents regarding events.
  • Attending semi-annual Board of Directors meetings. Provide onsite event management. Travel is typically required for the spring-board meeting.
  • Develop and execute an alumni engagement strategy, in collaboration with the Executive Director and Alumni Engagement Committee.
  • Develop and manage Salesforce CRM solution to support strategy.
  • Develop and execute an Alumni engagement strategy.
  • Manage TSCI monthly newsletter.
  • Coordinate with the marketing department to design marketing materials and send and manage marketing campaigns to internal audiences.
  • Coordinate and facilitate webinars (Transportation Talks and others as needed) on behalf of the Institute.
  • Work with the Executive Director to drive the social media and web content strategy to improve the TSCI brand value and recognition.  Responsible for determining scope through internal and external resources.
  • Manage the design and purchase of branded gift items and marketing materials.
  • Supervise part-time or work-study positions to support alumni engagement program.
  • Ability to engage in positive, productive, professional, interpersonal relationships throughout the DU, Denver/Colorado, and national/international transportation community.
  • Capable of building strong and effective interpersonal relationships with TSCI Institute staff, external management/executives, and DU/PSC staff/departments.
  • Detail oriented with strong time management skills.
  • Demonstrated ability for administrative documents such as business emails and procedure manuals.
  • Demonstrated ability with board members and leadership, university personnel, local community leaders.
  • Strong office management skills and experience including but not limited to such processes as DU budgets, purchase orders, purchasing cards, collaboration, and support for academic arrangements.
  • Proficient in MS Office, Salesforce CRM, and Adobe In Design.
  • Ability to initiate, follow through and complete processes both for assignments and opportunities.
  • Ability to establish and maintain productive and collaborative relationships with these communities, cultivating and managing activities to strengthen the relationships.
  • Ability to demonstrate good judgment, discretion, confidentiality, and professional/executive attitude.

Requirements

  • Two to three (2-3) years of administrative/office management experience.
  • Operating budget responsibilities
  • Strong Familiarity with Marketing and Social media outreach
  • Three to five (3-5) years administrative/office management experience.
  • Academic/DU experience.
