We are seeking an experienced and customer-focused Project Administrator to join our growing Medium Density & Projects team, based in our modern Collins Square office.

This is an exciting opportunity to play a key role in delivering high-quality residential building projects, supporting clients throughout their new home journey while working closely with a collaborative and fast-paced team.

As a Project Administrator, you will manage a portfolio of clients from contract through to pre-site, ensuring a seamless and positive customer experience. You’ll become a trusted point of contact for clients, coordinating key administrative milestones and partnering with internal teams and external stakeholders to keep projects moving efficiently.

Key responsibilities include:

  • Providing regular updates and exceptional service to clients throughout their build journey
  • Managing pre-site administration across a portfolio of projects
  • Preparing HIA Building Contracts and associated documentation
  • Maintaining accurate and up-to-date client records and file notes
  • Liaising with brokers, banks, councils and external stakeholders regarding finance and land information
  • Coordinating the Building Permit process
  • Working collaboratively with internal departments to ensure timely file progression
  • Maintaining up-to-date knowledge of Simonds products, processes and promotions

You are a highly organised and proactive administrator who thrives in a fast-paced environment and enjoys building strong relationships with both clients and colleagues. You bring a customer-first mindset, exceptional attention to detail and the ability to confidently manage multiple priorities at once.

You’re a team player with strong communication skills and enjoy being part of a supportive and collaborative environment, while also taking ownership of your own portfolio and responsibilities.

To be successful in this role, you will ideally have:

  • Previous administration experience, preferably within residential construction, property or a related industry
  • Experience delivering exceptional customer service and managing customer enquiries or issues professionally
  • Knowledge of HIA Building Contracts and/or pre-site administration processes
  • Strong organisational and time management skills, with the ability to manage competing priorities
  • Highly developed interpersonal and communication skills
  • A proactive and adaptable approach to work
  • Experience with Framework systems (highly regarded)
  • The ability to work positively within a goal-oriented and collaborative team environment
