Job Description

Title: Activities Coordinator
Department: Activities
Supervisor: Administrator
FLSA Status: Non-Exempt

Position Summary

The Activities Coordinator is responsible for planning, organizing, implementing, and evaluating a comprehensive activities program that supports the physical, emotional, social, cognitive, spiritual, and recreational needs of residents. This position works collaboratively with residents, families, staff, volunteers, and community organizations to promote resident independence, dignity, engagement, and quality of life within the residential care setting.

The Activities Coordinator fosters a safe, inclusive, and enjoyable environment where residents are encouraged to participate in meaningful activities that reflect their interests, preferences, abilities, and cultural backgrounds.

Essential Duties and Responsibilities

  1. Develops, coordinates, and promotes a variety of recreational, educational, social, cultural, cognitive, and wellness programs for residents.
  2. Plans and posts monthly activity calendars and communicates activity schedules to residents, families, and staff.
  3. Organizes and coordinates religious services, spiritual programs, and clergy visits as appropriate to resident preferences.
  4. Adapts activities and recreational programming to meet the changing needs, abilities, and interests of residents.
  5. Collaborates with the Administrator, Nursing staff, and interdisciplinary team to ensure activities are appropriate, individualized, and integrated into resident care plans.
  6. Designs and implements activities that encourage resident independence, engagement, and overall quality of life.
  7. Conducts or arranges individual and group activities, including special events, holiday celebrations, birthdays, cultural observances, and community outings.
  8. Assists with seasonal and holiday decorating within the facility to create a welcoming environment.
  9. Encourages community involvement by inviting volunteers, performers, schools, organizations, and guests to participate in activities when appropriate.
  10. Utilizes community resources and opportunities to promote resident participation and community inclusion.
  11. Arranges and coordinates transportation for community activities and outings as needed.
  12. Recruits, trains, schedules, and supervises volunteers and staff assigned to activity programs.
  13. Maintains activity supplies, equipment, and materials in an organized and accessible manner.
  14. Assists residents as needed during activities and communicates resident needs or concerns to appropriate staff members.
  15. Assists with resident safety and evacuation procedures during emergencies.
  16. Supports residents in maintaining existing relationships and developing new social connections and support networks.
  17. Encourages and supports residents in exploring personal interests and participating in community life.
  18. Maintains accurate records and documentation related to resident participation and activity programming as required.
  19. Participates actively in staff meetings, trainings, and continuing education opportunities.
  20. Complies with all Vermont Residential Care Home regulations and all VCCI policies and procedures.
  21. Performs additional duties as assigned or directed.

 

Minimum Qualifications

Education and Experience

  • Associate’s degree in Recreation, Human Services, Gerontology, Therapeutic Recreation, Activities Programming, or a related field preferred.
  • Experience working with older adults in a residential care home, assisted living facility, nursing home, adult day program, or related setting preferred.
  • Experience planning and implementing recreational, educational, social, and wellness programs preferred.

Knowledge, Skills, and Abilities

  • Ability to communicate effectively with residents, families, physicians, community members, and coworkers.
  • Strong interpersonal, organizational, and time-management skills.
  • Ability to work independently and collaboratively as part of a team.
  • Ability to assess resident interests, abilities, and safety needs related to activities and participation.
  • Ability to maintain confidentiality and professionalism.
  • Basic computer skills, including use of email, calendars, and activity documentation systems.
  • Ability to exercise sound judgment and problem-solving skills in a residential care environment.

Language Skills

  • Ability to read, write, and communicate effectively.
  • Ability to present information clearly to residents, families, staff, and community groups.
  • Ability to respond appropriately to questions, concerns, and requests from residents and families.

Mathematical Skills

  • Ability to perform basic mathematical calculations related to scheduling, budgeting, and activity planning.

Reasoning Ability

  • Ability to define problems, collect information, establish facts, and draw appropriate conclusions.
  • Ability to adapt programming and respond appropriately to changing resident needs and situations.

Certificates, Licenses, and Registrations

  • Valid Vermont Driver’s License required.

  3. The work environment is generally quiet to moderate in noise level and may include interaction with residents experiencing cognitive, physical, or emotional challenges.
