We are recruiting a post based in the Central Highland Operational Area. We anticipate the successful post holder to be office based with regular attendance in the Dingwall Office, with some attendance at other locations including Aviemore and Great Glen House in Inverness and occasional home-based working.
This role will provide administrative support on a broad range of activities to support:
- the Central Highland Operational Area Team,
- the Scottish Beaver Advisory Group (approx. 1/5th of the role).
Responsibilities

- →Responsible for the effective day-to-day running of the local office Dingwall, liaising with contractors, coordination of building maintenance.
- →Local admin support and reception duties, including for colleagues in other NatureScot teams and co-located partner organisations (including SEPA and Cairngorms National Park Authority).
- →Administrative support for managers of National Nature Reserves for example Ben Wyvis, Knockan Crag and Loch Fleet
- →Administrative support for the Scottish Beaver Advisory Group, setting up meetings, coordinating agendas and taking minutes.
- →Co-ordinate attendance at quarterly meetings and workshops of the group
- →Sending out agendas, papers,
- →Taking minutes and track meeting actions and changes in group membership/mailing lists
- →Linking to sub-groups
- →Assisting with reporting against Scotland's Beaver Strategy.
- →Manage all information and data in accordance with corporate policy as Record Liaison Officer for the local offices. Maintain physical and electronic filing systems using Corporate Records Management guidance.
- →Contribute to the management of shared mailboxes.
- →Assist with the management of the pool vehicles based locally, ensure monthly vehicles inspections and any repairs, servicing/MOT works to be carried out. Assist with the management of local electric charging points.
- →Make arrangements and bookings for travel and accommodation and for meetings and hospitality, in accordance with clear instructions on behalf of Central Highland and the Scottish Beaver Advisory Group.
- →Procure items as required, assist with letting contracts throughout the year and liaise with Procurement Section, ensuring sustainability and best value.
Requirements
~1 min read- Experience of office administration, including day to day office running, vehicle management, reception duties
- Good organisational and time management skills with ability to work independently with initiative and as part of a team
- Experience of maintaining electronic files, records management, need to use naming conventions etc
- Being flexible, with ability to prioritise workloads and identify and resolve issues, referring to the line manager as necessary.
- Experience of organising meetings and minute taking or willingness to learn
- Well-developed IT skills, including MS Office, Outlook, Teams
- Experience of organising travel/accommodation booking
- Driving licence to get to other NatureScot locations and take vehicles for servicing etc
- Understanding the importance of Health & Safety responsibilities
- Experience of managing electronic filing systems, understanding of GDPR
- Experience of managing shared mailboxes
- Experience of financial processing and purchasing
- Candidates must be eligible to live and work in the UK and resident in Scotland for the duration of the job contract
- To undertake a Disclosure Scotland application.
- Although Gaelic language is not a prerequisite it is a desirable skill in support of our commitment to our Gaelic Language Plan
