The Research Financial Specialist is responsible for overseeing the management of research revenue and payments generated through clinical trial activity. This role manages clinical trial financial operations, including billing, invoicing, sponsor payments, accounts receivable and payable, study reconciliations, and revenue tracking. Working closely with research, finance, and sponsor partners, the Research Financial Specialist ensures financial accuracy, regulatory compliance, and timely reimbursement throughout the lifecycle of clinical research studies.

Responsibilities

  • Manage patient and revenue tracking through the Clinical Conductor Clinical Trial Management System (CTMS)
  • Perform general accounting functions for the Research Department, including accounts payable, billing, accounts receivable, sponsor payment monitoring, and payment processing for research study expenses
  • Ensure research patient services are billed accurately to the appropriate payer or study sponsor
  • Generate invoices for study start-up fees, milestones, patient visits, and administrative fees
  • Monitor and apply sponsor payments against invoices and tracked study visits
  • Process payments to internal and external vendors for study-related expenses
  • Process patient stipends and travel reimbursements
  • Close study accounts in accordance with Clinical Trial Agreements (CTAs)
  • Create monthly revenue reports for department and finance leadership under direct supervision
  • Process and post all research payments and prepare cash receipt statements for the Finance team
  • Review and approve research charges within the electronic medical record (EMR)
  • Reconcile monthly expenses and invoices
  • Assist internal and external customers in resolving billing and payment issues
  • Manage accounts receivable, accounts payable, and research collection activities
  • Perform internal audits and study close-out reconciliations to ensure accurate revenue capture
  • Maintain professionalism and confidentiality regarding patient, sponsor, and vendor information
  • Attend departmental leadership meetings
  • Perform all other duties as assigned

Requirements

  • Associate degree in Finance, Accounting, Business Administration, Healthcare, or a related field; OR an equivalent combination of education and experience
  • Minimum of five (5) years of experience in accounting or clinical trial finance
  • Experience with clinical trial finance and Clinical Trial Management Systems (CTMS)
  • Proficiency in clinical research billing and an understanding of federal and state statutes, laws, rules, and regulations affecting healthcare reimbursement, clinical research billing, grant funding, and financial management
  • Excellent organizational, follow-up, and problem-solving skills
  • Ability to organize and prioritize work assignments while managing multiple priorities in a fast-paced environment
  • Ability to analyze situations and respond in a timely manner
  • Ability to work effectively within multidisciplinary teams and establish strong working relationships
  • Proficiency in Microsoft Access, Excel, and Outlook
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to effectively present information and respond to questions from managers, clients, customers, and the public
  • Typical clinical and office environment
  • Exceptional verbal and written communication skills required
  • Ability to sit, stand, walk, reach, climb or balance, stoop or crouch, and use hands and wrists for extended periods
  • Ability to lift up to 10 pounds
