Job description:

The Operations Coordinator is responsible for supporting the successful delivery of a program portfolio within an assigned region. This role works closely with suppliers, vendors, and internal stakeholders to procure and fulfill program itineraries, ensuring quality, cost control, and operational excellence throughout the lifecycle of each program.
This is a key role in the production of WorldStrides’ core business. The Operations Coordinator manages logistics, supplier relationships, pricing oversight, and operational timelines while balancing dependencies, compliance requirements, and budget constraints. A problem solving mindset with a “can do” attitude is essential.

Responsibilities:
Program Operations & Supplier Management

  • Maintain regular communication with suppliers, Destination Management Companies (DMCs), and other partners.
  • Allocate and book services with suppliers, ensuring the best balance of price, quality, and feasibility.
  • Supervise tour itineraries within the assigned region, reviewing logistics, timing, and operational flow.
  • Monitor reservations, services provided, and related deposits or transactions.
  • Inform ground teams when services or rooms need to be reserved, adjusted, or cancelled.

Pricing, Cost Control & Documentation

  • Submit requests for quotes and assess proposals for feasibility, accuracy, and compliance.
  • Review, evaluate, and maintain pricebooks, ensuring ongoing updates and quality control.
  • Conduct reviews of pricebook itineraries and make necessary adjustments.
  • Manage operational costs within the assigned region or portfolio.
  • Review, approve, and process supplier invoices.

Cross Functional Collaboration

  • Support Sales, Program Management (PM), Account Managers (AMs), Risk, and other internal teams with destination specific operational information.
  • Facilitate internal transition calls between Account Managers and Program Management Coordinators.
  • Deliver essential operational details to Account Managers for the pre departure phase.
  • Assist with the finalization of pre departure requirements and documentation.

Project Coordination & Quality Assurance

  • Track key program deadlines, milestones, and dependencies.
  • Ensure quality control of services delivered.
  • Collect and organize operational data required for program execution.
  • Ensure compliance with internal standards, budgets, and timelines.
  • Identify, investigate, and vet potential new suppliers and service providers.

Team & Process Development

  • Assist in developing guidelines, methodologies, and best practices to improve quoting and fulfillment processes.
  • Participate in regular meetings with ground teams and regional partners.
  • Actively contribute to planning, development, and continuous improvement initiatives across assigned regions or destinations.

Qualifications:
• Bachelor’s degree preferred.
• Proficiency in English required; additional language skills strongly preferred.
• Strong knowledge of world geography and cultural awareness.
• Experience in travel, tourism, education abroad, or international program operations preferred.
• Prior international experience or experience working with global suppliers is a plus.
• Strong communication and interpersonal skills, with the ability to work across teams and levels.
• Proven ability to manage multiple priorities in a fast paced, dynamic environment.
• Strong organizational, negotiation, and budget management skills.
• High level of accuracy and attention to detail.
• Proficient computer skills and comfort learning new software systems.
