The HR Operations Executive is at the heart of our people experience, owning the end-to-end employee lifecycle from day one to last day. This role takes full accountability for onboarding, offboarding, and confirmation processes, ensuring every touchpoint is seamless, timely, and reflects the WPP Media standard. Beyond lifecycle management, the role covers benefits administration, HRDC submissions, Employment Pass applications, and HR process coordination.

About the Role

- Managed vendor relationships for employee insurance and benefits administration.
- Independently handled employee and leave-related queries.
- Mastered the administration of confidential master data, staff databases, and HR documentation, ensuring they are audit-ready.
- Taken full ownership of onboarding, offboarding, and confirmation workflows with minimal supervision.
- Built strong, trusting relationships with team members, line managers, and the wider Group.
- Demonstrated independent ownership of HRDC applications, EP case tracking, insurance administration, and employee movement documentation.
Responsibilities
~1 min read- Own the full onboarding experience for new joiners, coordinate pre-boarding paperwork, system access, induction schedules, and Day 1 readiness across all stakeholders.
- Manage the offboarding process end-to-end, including exit documentation, clearance coordination, final pay inputs, and leaver communications.
- Track and administer the confirmation process for all employees on probation issue confirmation letters, follow up with line managers on assessments, and maintain accurate timelines.
- Act as the primary point of contact for employees navigating key lifecycle milestones, ensuring a consistent and positive experience at every stage.
- Maintain and manage accurate HR records, including new hires, transfers, confirmations, terminations, and job classification changes.
- Prepare and issue employee movement, confirmation, and other HR-related letters promptly and accurately.
- Administer and update organisational charts, training databases, and employee master lists.
- Ensure HR documentation and processes comply with company policies and audit standards.
What We Offer

- Track EP timelines, maintain accurate case records, and proactively flag upcoming renewals or compliance requirements.
- Liaise with immigration consultants or MDEC where applicable, ensuring all documentation is complete and submissions are on time.
- Maintain employee data accuracy in HR systems and records.
- Support HR reporting, internal audits, and data-driven initiatives.
- Contribute to continuous improvement of HR processes, documentation, and employee experience.
- Undertake any other HR tasks as and when required.
Requirements
~1 min read- Bachelor's Degree in Human Resource Management, Business Administration, or a related field.
- Atleast 1 year of hands-on experience in HR Operations or HR Administration.
- Demonstrable experience managing onboarding, offboarding, and probation confirmation processes.
- Proficiency in Microsoft Office, particularly Excel; familiarity with HRIS systems is a plus.
- Prior experience in a media agency or fast-paced multinational environment is advantageous.
- Experience with HRDC (formerly HRDF) applications, claims, and compliance. You know the process and can run it independently.
- Exposure to Employment Pass applications and Malaysian immigration processes, including ESD-track submissions.
- On top of things. You track deadlines before they become problems and keep all moving parts organised without being prompted.
