As we continue scaling, we're looking for a strategic and hands-on Head of IT Operations to lead our internal IT function, strengthen security and compliance, optimize business systems, and build a world-class technology foundation that supports both our
clients and employees.
This is a high-impact leadership role for someone who enjoys balancing strategy with execution, leading teams, improving processes, and driving operational excellence across a growing international organization.
Responsibilities

• Own and continuously improve all technical processes across the company.
• Proactively identify gaps in tooling, infrastructure, and workflows — and implement solutions.
• Stay current on industry best practices and evaluate new technologies for adoption.
• Ensure constant Team development by working on their competencies
• Hold 1:1 with team members
• Manage the end-to-end IT onboarding process for outstaffed employees, ensuring a seamless experience from day one.
• Conduct thorough technical orientations for new hires and serve as their primary IT point of contact during integration.
• Coordinate with Recruitment and HR to ensure smooth handover from hiring to onboarding.
• Regularly gather feedback from employees and clients to improve the integration experience.
• Act as the technical liaison between Zelh and client teams during employee integration.
• Review client environments and recommend technology solutions that improve business processes.
• Ensure outstaffed employees are properly integrated with client systems, tools, and security requirements.
• Run regular check-ins and alignment sessions with client stakeholders.
• Roadmap planning — develop and maintain a clear IT roadmap aligned with company growth, client needs, and operational priorities.
• Management contribution — actively contribute to company-wide management plans, providing the technical perspective in leadership discussions and strategic decisions.
• Budget planning — own the IT budget, including infrastructure, licensing, tooling, and headcount; present forecasts and justify investments to leadership.
• Forecasting — anticipate future technology needs based on headcount growth, client expansion, and market trends; plan capacity and resources accordingly.
• OKRs & reporting — define measurable IT objectives, track progress, and report on key metrics to leadership on a regular cadence.
• Network configuration & management — hands-on experience with MikroTik, HPE, Aruba, and Ubiquiti for LAN/WAN setup, VLAN segmentation, firewall rules, and wireless infrastructure.
• Network monitoring & troubleshooting — proactive monitoring of network health, diagnosing connectivity issues, and maintaining uptime across all office and remote environments.
• VoIP & unified communications — setup, configuration, provisioning, and ongoing management of VoIP systems including RingCentral and similar platforms.
• Remote Monitoring & Management — use of Datto RMM for endpoint visibility, alerting, patching, and remote support across distributed teams.
• HR platforms — proficiency in managing HR tools for employee lifecycle, onboarding workflows, time tracking, and team administration (experience with Propel HR is a plus).
• CRM systems — ability to work with CRM platforms to support sales, client management, and reporting pipelines; Salesforce experience is a plus.
• TMS & ERP systems — familiarity with Transportation Management and Enterprise Resource Planning systems used across client environments in logistics and operations.
• Business applications — experience supporting and administering a broad range of business tools used across operations, finance, and client-facing teams; comfortable onboarding new platforms and managing user access, integrations, and vendor relationships.
• Microsoft 365 — administration of Exchange Online, SharePoint, Teams, and OneDrive across the organization.
• Microsoft Entra ID (Azure AD) — user identity management, SSO, conditional access policies, and MFA.
• Microsoft Intune — endpoint management, device compliance policies, and mobile device management (MDM).
• Microsoft Defender — endpoint protection, security policies, and threat monitoring (Defender for Endpoint / Defender for Office 365).
• Microsoft Teams — administration, telephony integration, and SMS provisioning.
• Azure — familiarity with core Azure services for cloud infrastructure and identity.
• Microsoft 365 Admin Center & Security Center — day-to-day administration, license management, and compliance monitoring.
• Drata — manage and maintain the compliance automation platform, including evidence collection, control monitoring, and audit readiness.
• Compliance frameworks — support and maintain certifications such as SOC 2, ISO 27001, or similar; coordinate with auditors and internal stakeholders.
• Security policies — develop, implement, and enforce company-wide security policies, access controls, and data protection standards.
• Vulnerability & risk management — conduct regular security assessments, track remediation, and report on risk posture.
• Incident response — maintain and execute incident response procedures; lead investigation and resolution of security events.
• Security awareness — support employee security training programs and phishing simulation initiatives.
• Vendor security reviews — assess third-party tools and integrations against security and compliance requirements.
• Identify and implement automation opportunities across IT, onboarding, and operational workflows.
• Power Automate — build and maintain automated flows for repetitive tasks, approvals, and cross-system integrations within the Microsoft 365 ecosystem.
• Power Apps — develop lightweight internal tools and forms to streamline team workflows without relying on external vendors.
• AI-powered automation — evaluate and deploy certified AI applications (e.g. Microsoft Copilot, Azure AI services) to enhance productivity and reduce manual effort.
• PowerShell — automate IT administration, user provisioning, and device management tasks.
• Maintain clear documentation for all automation workflows to ensure transparency, maintainability, and compliance alignment.
Software Asset Management (SAM)
• Maintain a complete and accurate inventory of all software licenses across the organization.
• Track license utilization, renewal dates, and costs — ensuring compliance and avoiding over- or under-provisioning.
• Manage the software procurement process, including vendor negotiations and license optimization.
• Conduct regular audits to ensure all deployed software is properly licensed and approved.
• Evaluate and rationalize the software portfolio to eliminate redundant tools and reduce costs.
• Maintain software approval and request workflows for new tools and applications.
• Maintain an up-to-date inventory of all hardware assets — laptops, peripherals, phones, and networking equipment.
• Manage the full hardware lifecycle: procurement, assignment, tracking, maintenance, and decommissioning.
• Coordinate hardware provisioning and shipping for new hires, including remote employees.
• Track warranty status, repair history, and end-of-life schedules for all devices.
• Ensure all assets are properly configured, secured, and enrolled in Intune before deployment.
• Reconcile hardware records with Zoho/GLPI and Intune data to maintain a single source of truth.
• Own and maintain the internal IT knowledge base — covering processes, configurations, runbooks, and onboarding guides.
• Document all system architectures, network diagrams, and integration setups, keeping them current as environments evolve.
• Create and maintain standard operating procedures (SOPs) for recurring IT tasks and workflows.
• Ensure compliance-related documentation (policies, evidence, controls) is complete, accurate, and audit-ready.
• Promote a documentation-first culture within the tech team — ensuring knowledge is shared and not siloed.
• Maintain change logs and version history for critical systems and configurations.
• Bachelor's degree in a relevant field, or equivalent hands-on experience.
• Proven experience in a similar IT leadership or integration management role, ideally in outstaffing or staffing.
• Strong project management skills — able to juggle multiple workstreams and keep things moving.
• Excellent communicator with the ability to build trust with both technical and non-technical stakeholders.
• Detail-oriented with a strong track record of maintaining accurate documentation and records.
• Proactive mindset — you spot problems before they escalate and fix them before anyone asks.
• Familiarity with HR and compliance processes related to employee onboarding.
• Comfortable working independently and leading a team.
