About Role

The A/P Card Clerk is responsible for processing and reconciling company-issued procurement card (P-card) transactions, ensuring compliance with financial policies, and maintaining accurate records. This position works closely with cardholders to review and verify purchases, handle disputes, and ensure timely payment to vendors.

Key Responsibilities:

  • P-Card Transaction Management: Process and review all P-card transactions to ensure they are properly coded, documented, and authorized according to company policies.
  • Reconciliation: Reconcile monthly P-card statements with receipts and supporting documentation, ensuring accuracy in financial records.
  • Expense Allocation: Assign and verify general ledger coding for each P-card transaction and ensure the appropriate department and cost center are charged.
  • Compliance Audits: Conduct regular audits of P-card transactions to ensure compliance with company purchasing policies and identify any misuse or discrepancies.
  • Vendor Payments: Ensure timely and accurate payments to vendors for purchases made via P-cards, including resolving any payment issues.
  • Dispute Resolution: Manage disputes with vendors or credit card companies related to incorrect charges, returns, or other issues.
  • Record Maintenance: Maintain accurate and organized records of all P-card transactions, receipts, and reconciliations for auditing purposes.
  • Reporting: Generate monthly and quarterly reports on P-card usage, spend analysis, and compliance to provide insights to management.
  • Policy Communication: Assist in communicating and enforcing the company’s P-card policies and procedures.

Qualifications:

  • Education: High school diploma or equivalent (Associate’s degree in Accounting or Finance is a plus).
  • Skills:
    • Strong attention to detail and accuracy.
    • Good organizational and time management skills.
    • Strong communication skills, both written and verbal.

  • Ability to work independently and as part of a team.
