Job Description

We are excited to announce a great career opportunity for the position of a Virtual Administrative Assistant, posted on behalf of teambuilding.com.

Teambuilding.com hosts virtual and in-person team building events for companies across the United States, and often need to book travel for hosts to events outside of standard working cities. The Virtual Assistant will work closely with the scheduling department to book travel for hosts in accordance with Standard Operating Procedures, along with other administrative tasks.

Classification: Part-time hourly contractor; no paid benefits.

Hours: 5-10 hours per week to start; possibility to increase after a three-month trial period.

Availability: The initial training period will include regular one-hour training sessions scheduled in advance, taking place from 10:00 AM to 11:00 AM ET. Travel booking tasks are expected to be completed between 5:00 AM and 10:00 AM ET as needed, with a review meeting scheduled at 10:00 AM ET during this training period.

Job Duties and Responsibilities:

  • Work closely with our scheduling department to book travel for teambuilding.com event hosts that will be traveling for events. Primarily domestic US travel consisting of flights and/or train tickets, and hotel accommodations.
  • Meticulously follow Standard Operating Procedures for travel booking, including meeting budget needs, travel locations, and selecting accommodations that match teambuilding.com standards.
  • Communicate with the event hosts regarding travel accommodations needed.
  • Ensure all travel is booked by the travel booking deadline for each event.
  • Upon successful completion of travel booking, potential to increase responsibilities and hours, including scheduling virtual shifts for our team, confirming events, and sending standard client emails.
  • Complete travel budget reports occasionally to evaluate the total travel spend per event.
  • Escalate any concerns to the Operations Director.

Requirements

  • Prior knowledge of travel booking platforms and reservation systems
  • Excellent attention to detail
  • Outstanding written and verbal communication skills
  • Ability to adapt to new technologies and software
  • Prior experience booking travel within the United States is a huge plus.
  • Experience using Slack and Google Calendar is a plus.
