Telling your manager, in person or on a video call, is often what keeps people up the night before. You might feel guilty. You might be bracing for a bad reaction, or for a conversation that turns into a negotiation you didn’t want.

It goes much better with a little preparation. Tell your manager first and in private. Say the decision in your first sentence instead of working up to it. Know your last day before you walk in, and keep your reason short. You don’t have to justify leaving. Then put it in writing the same day.

Below: how to prepare, what to say, scripts for the most common situations, and how to handle the questions that usually follow.

Before the conversation

Have your offer in writing (if you have one)

If you’re leaving for a new job, wait until the offer is in writing and any conditions, like references or a background check, are cleared or clearly on track. Resigning on a verbal promise is a gamble.

Know your notice period and last day

Look at your contract or employee handbook. In many US jobs two weeks is customary. In other countries notice periods can be longer and set by contract or law. Work out the actual calendar date of your last day.

Decide what you will and won’t say

Have one sentence ready about why you’re leaving. Also decide ahead of time whether you’d even consider a counteroffer. If the answer is no, you’ll be a lot calmer when the question comes.

Prepare a rough handover list

Your manager’s first worry will usually be coverage. Walk in with a short list of your open work and how it could be handed over. It shows you’re taking the exit seriously, and it shortens the meeting.

When and how to tell your boss

In person or on a video call (a phone call if video isn’t possible), not by email or chat. On remote teams, a scheduled video call is normal.

Privately. Ask for a short one-on-one (“Do you have 15 minutes today?”). Not in a team meeting, not in an open office.

Early in the week and early in the day, if you can, so there’s time to plan the handover. Try not to catch your manager right before a big deadline or presentation.

Before anyone else at work knows. Managers often take it badly when they hear it second-hand.

What to say: a simple structure

The decision: “I’ve decided to leave [company].”

The date: “My last day will be [date].”

A brief, sincere thank-you: “I’ve really appreciated [specific thing].”

The handover offer: “I’ll make sure everything is handed over properly. I’ve already started a list.”

The next step: “I’ll send my formal resignation by email today.”

That’s the whole thing. Plenty of these conversations are over in 10 to 15 minutes.

Scripts for common situations

You’re leaving for a new job

“Thanks for making time. I wanted you to hear it from me first: I’ve accepted a new position and I’ll be resigning. My last day will be [date]. I’ve learned a lot here, especially working on [project], and I want the handover to go smoothly. I’ll send my formal notice by email today.”

You have a good relationship with your manager

“Honestly, this is a hard one, because I’ve really enjoyed working for you. I’ve decided to take a new opportunity, and my last day will be [date]. I’d like to help plan the transition, and I’d like to stay in touch.”

You’re leaving without another job lined up

“I wanted to let you know that I’ve decided to resign. My last day will be [date]. I’m going to take some time before my next step, and I’ll leave everything in good shape before I go.”

You don’t need to explain further. If they ask, “I’m taking some time to figure out what’s next” is enough.

You’re leaving for personal or health reasons

“I need to let you know that I’m resigning for personal reasons. My last day will be [date]. I’d rather not go into detail, but I want to make the handover as easy as I can.”

If your health is the reason, talk to HR about medical leave or accommodation options before you resign (in the US, that may include unpaid FMLA leave if you’re eligible). Resigning can end benefits, like health insurance, that you’d otherwise keep.

The relationship with your manager is difficult

“I’ve decided to resign. My last day will be [date]. I’ll have a handover document for [areas] ready by [date].”

Brief and neutral. This isn’t the moment for grievances. If something serious is going on, like harassment or discrimination, raise it through HR or the proper channel.

You’ve only been there a short time

“I want to be upfront with you. I’ve thought about it carefully and realized this role isn’t the right long-term fit for me, and I think it’s fairer to say so early. My last day will be [date].”

How to answer common reactions

“Why are you leaving?”

Give one honest reason that isn’t a criticism: growth, a different kind of role, location, pay, a career change. “It’s a chance to move into a team lead role” lands far better than a list of complaints.

“Where are you going?”

Share it if you want to. You don’t have to. “I’d rather keep that to myself until I’ve started, but I’m happy to tell you later” is completely fine.

“What would it take for you to stay?”

If you’ve decided, say so kindly: “I appreciate that, but I’ve made my decision.” If you are open to a counteroffer, say what matters to you and ask for time to think about any proposal. Before you accept, ask yourself honestly whether the reasons you started looking would actually change.

“Can you stay longer than your notice?”

Only if it works for you and for your new employer. If it doesn’t, offer something else: detailed documentation, or a call with your replacement after they start.

Your manager reacts emotionally

Stay calm. Acknowledge it (“I know this is unexpected”) and steer back to the practical plan. Don’t get pulled into arguing about the decision itself.

After the conversation: checklist

Send your written resignation the same day. We’ve collected ideas for a farewell message.

FAQ

Should I tell my boss before HR?

Usually, yes. Your manager should hear it from you. Afterward, send written notice to your manager and copy HR if that’s the usual practice.

Can I quit over the phone?

A phone or video call is fine, especially if you work remotely. Follow it up with written notice.

How much notice should I give?

Whatever your contract or company policy requires, and at least any legal minimum where you work. Where nothing is specified, two weeks is common in the US. If you’re thinking about giving less, read our guide to giving one week’s notice instead of two.

What if my boss tells me to leave immediately?

It happens. Some employers end the employment on the spot, and others put you on “garden leave” (paid time off for the rest of your notice period, common in the UK). In the US, where most jobs are at-will, an employer can accept your resignation effective immediately. Whether you’re paid for the rest of the notice period depends on your contract and local law. Ask HR to confirm your final pay in writing.

Is it OK to resign on a Friday?

Any day works. Earlier in the week leaves more time to plan, but the main thing is talking to your manager privately soon after you’ve decided.

What comes next

Once you’ve told your boss and put it in writing, your attention can move to the next job.
