The Credentialing Assistant coordinates support services for the Medical Staff Services Director and other Medical Staff Services personnel. Works under the direct supervision of the Medical Staff Services Director and Credentialing Coordinators. Assists with the administrative and clerical duties of the Medical Staff Services Department including processes related to credentialing, database maintenance, filing of credentialing records, invoice processing, website maintenance, and provider notifications. Provides additional assistance as requested with the credentialing process, maintenance of the credentialing database, and maintenance of credentialing files and records

Performs credentialing duties and other Medical Staff Services duties for Medical Staff Services Director (i.e. schedules appointments, coordinates meetings, coordinates travel arrangements, coordination and set up for presentations, drafts letters and assists with mail-outs and email notifications to 1000+ physicians, advanced dependent practitioners as well as other credentialed allied health professionals.)

Assist Director Medical Staff Services, Medical Staff Officers and other Medical Staff leadership with their duties related to medical staff functions including preparation of meeting minutes and special reports as needed.

Provide administrative support for Medical Staff Services Director by coordinating, preparing, and maintaining hospital statistical data base reports as requested.

Provide administrative support through data entry functions for Medical Staff Services Director and Credentialing Coordinators (i.e., assists with updating credentialing database with current licensure and insurance information, scanning documents into database, and other clerical duties associated with database maintenance.)

Assist with the intake and processing of medical staff applications (initial and reappointment) as directed by the Medical Staff Services Director and Credentialing Coordinators

Monitoring status of credentialed provider expirables. Notifying credentialed providers when updates are required. Maintenance and updating database as applicable. Querying primary sources as needed to ensure ongoing eligibility for clinical privileges.

Assist with hospital affiliation verification requests and other requests for verification of credentialing status. Assist with primary source verification for reappointment applicants as requested.

Assist Credentialing Coordinators with ongoing maintenance of pending provider application log.

Assist Medical Staff Services Director with processing payment of invoices and maintenance of files and electronic records.

Assist with maintaining credentialing files for Medical Staff Services. Maintenance and filing of provider credentialing records and correspondence. Assist with Medical Staff Signature of credentialing files.

Update database with provider information as needed to maintain integrity of provider electronic profile. Assist with ensuring provider profile contact information is accurate and up to date with applicable addresses, phone and fax numbers, and email addresses.

Assist MSS Director and Credentialing Coordinator with preparation for Allied Health Professional Committee, Credentials Committee, Medical Executive Committee, Board meetings, or any other Medical Staff meetings (i.e. copies, type agenda, assemble notebooks) as directed.

Assist with monitoring on-line provider orientation completion and other mandatory education as needed including tracking compliance and sending out providers notices.

Assist medical staff leaders and administrative leaders with information needs and clerical support as needed.

Assist Medical Staff Services Director with maintaining Medical Affairs Website with call schedules, announcements, Medical Staff documents, nurse protocol agreements and other documents as needed.

Assist with all clerical duties required within Medical Staff Services Department
Three years experience in Medical Staff Services and credentialing; proficiency in credentialing software systems.
High school diploma or GED.
Bachelor’s degree may be considered in lieu of experience
Certification/License/Registration: None
Special Training/Skills:
Credentialing software systems.
MS Office
Must have the ability to plan and organize work effectively.
Must be able to perform work accurately under stressful conditions. Must be able to maintain a high degree of confidentiality.
Discretion required in handling confidential information.
Consistently exhibits professionalism and tact when dealing with difficult employees, customers, or situations.
