As our Integrated Operations Manager in Japan, you are the person who keeps ai& running. You will contribute to building the back office from the standing up the systems, tools, and processes that every other team depends on.

This role sits at the center of the organization. You will work daily across engineering, product, finance, infrastructure, and HR, making sure the operational layer of the company is tight, responsive, and always one step ahead of what the business needs. You will be hands-on in standing up IT infrastructure, working with general affairs, and supporting the finance team with the operational side of accounting and approvals. You will also work directly with our product and engineering teams where operational support is needed, bridging the gap between back office and the technical side of the business.

Lastly, you will be a key part of how ai& uses its own technology internally, building agentic and AI-powered workflows into our operations wherever manual processes exist today. We build this technology and our own back office should reflect it.

Responsibilities

  • Approval Flows & Workflow Automation Design and implement the approval and operational workflows the company runs on — purchase approvals, expense sign-offs, vendor onboarding, and internal requests. Build these as agentic and AI-powered processes wherever possible using ai&'s own tools.

  • Agentic Process Development Identify manual, repetitive, or slow processes across the company and replace them with automated, agent-powered solutions. We build this technology and our own operations should demonstrate what it can do.

  • Cross-Functional & Product Team Support Work across every function including engineering and product teams where operational support, tooling, or coordination is needed. Be the connective tissue between back office operations and the technical teams building the product.

  • Fire Fighting & Problem Resolution When things go wrong you are the first line of response. Diagnose, resolve, and close out operational issues quickly so they do not slow the team down.

  • Leadership Support Work directly with leadership on operational priorities. Manage schedules, prepare materials, coordinate across time zones, and ensure leadership attention is focused on what matters most.

  • Cross-Functional Range You are comfortable working with every function in the company including technical and product teams. You can translate between operational and engineering contexts and you build trust quickly across disciplines.

  • AI and Agentic Tool Fluency You actively use AI tools in your work and you are eager to build agentic workflows that automate and improve operational processes. This is an AI company and our operations should show it.

  • Bias for Action You see what needs to be done and you do it. You take ownership of outcomes rather than tasks and you do not wait to be told twice.

  • Japan Operations Experience Deep familiarity with operating in Japan. You understand the business culture, the regulatory environment, and the practical realities of running a company here.

  • Bilingual Fluency Professional fluency in Japanese and English is required. You operate seamlessly across our Japanese headquarters and global teams.
