We are seeking a highly organized and detail-oriented Regulatory & Sustainability Data Contractor to support sustainability, packaging compliance, and regulatory program for a global cosmetics and personal care brand. Approximately 80% of the role focuses on sustainability, packaging data, Extended Producer Responsibility (EPR) reporting (US, Canada, EU & Australia), EU Packaging and Packaging Waste Regulation (PPWR) compliance, and supplier documentation. Approximately 20% supporting general cosmetic regulatory compliance activities.
Responsibilities
~2 min readEPR and Packaging Reporting:
- →Collect, organize, and maintain packaging data required for EPR reporting; track packaging placed on the market by country/region.
- →Maintain records of packaging materials (plastic, glass, paper/ cardboard, aluminum/metals, multi-material, other components); collect packaging weights by component/material.
- →Support preparation of data for EPR declarations and packaging waste reporting.
- →Work with internal teams and external consultants.
- →Maintain calendar of EPR reporting deadlines and requirements.
PPWR and Packaging Compliance:
- →Support implementation and ongoing PPWR compliance activities.
- →Develop and maintain packaging compliance database.
- →Collect supplier information (material composition, component weights, recycled content, PCR content, recyclability, certifications, specifications); track against internal PPWR requirements and sustainability goals.
- →Identify missing information and follow up; maintain compliance documentation and evidence.
Supplier Questionnaires and Data Collection:
- →Prepare, distribute, and track supplier questionnaires; follow up for accurate/on-time completion.
- →Review submissions for completeness and consistency; request clarifications.
- →Organize certificates/specifications/declarations/supporting documents.
- →Maintain tracker (supplier name, component, requested/ received info, missing info, follow-up status, completion status); escalate overdue suppliers.
Database and Data Management:
- →Maintain accurate databases/trackers.
- →Enter/review/organize/update large data volumes.
- →Ensure consistency across databases/reporting systems.
- →Develop practical Excel trackers/reports and improve database structure.
- →Identify duplicate/missing/inconsistent information.
- →Maintain organized electronic folders/ documentation.
Cross-Functional Coordination:
- →Work with packaging, procurement and external suppliers.
- →Coordinate requests and participate in project meetings.
- →Assist with tracking timelines/deadlines and provide clear status reports on completed items, outstanding actions, and risks.
Regulatory Compliance Support (Approx. 20%):
- →Product registrations, document creation, creating technical files; maintain regulatory documents are up to date.
- Knowledge of regulatory compliance and regulatory requirements relevant to raw materials, formulations, and registrations.
- Relevant experience in food, fragrance, chemical, or related manufacturing environments, including familiarity with global frameworks such as FDA, EU, IFRA, and other applicable standards.
- Knowledge of global packaging sustainability guidelines.
- Bachelor’s degree in Data Science, Analytics, Environmental Science, Sustainability or related field a plus.
5+ years’ experience in cosmetic/personal care industry, food, pharmaceutical industry
- Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint, Teams, SharePoint or other document management systems).
- Experience with databases, data management systems, or large data trackers.
- Ability to organize and maintain large volumes of technical information and documents.
- Highly organized and detail oriented.
- Ability to manage multiple projects and deadlines.
- Excellent follow-up and supplier communication skills.
- Excellent communication skills with external suppliers and internal teams.
- Ability to work independently with minimal supervision.
- Practical problem-solving skills.
- Strong written communication skills.
