- Administer the functions of acquisition and distribution for service, parts and test equipment for Vehicle Engineering via the PentaSap system, credit card, and the department’s ATA system (Activity Tracking Application).
- Provide the first line of customer service in a “help desk” role for visiting customers.
- 1. Process requisitions, supplier follow up, approve invoices, shippers, etc. Review part usage between groups to determine optimal levels for cost reduction.
- In addition, identify common parts to share and reduce inventory levels.
- Select suppliers that can supply services, parts and test equipment required in a timely manner.
- Request material codes (NPM)
- Give priority to emergency requests and ensure requisitions are expedited.
- Lead resolution of timing, cost, and delivery problems that arise with our supply base.
- Verify materials are delivered for purpose of invoice payment and/or resolving payment problems.
- Approve/fix invoices for payment of all equipment requests that are completed by suppliers.
- Close requisition assignments in ATA when processes are determined to be complete.
- Maintain the inventory of general (public) stock with biweekly review.
- Create shippers via the JTETSO system to facilitate the handling of equipment being serviced.
- Manage warranty exchange programs for engineering tools such as micropods, vector, etc.
- Manage department calibration equipment to ensure calibration cycle is maintained through work order creation and vendor brokering.
- New equipment record creation using database.
- Assemble capital projects, create requisitions, track timing, update KPIs
- Review equipment services and generate service contracts for cost and efficiency improvements.
- Develop efficient procurement paths to meet cost, and timing for design build projects.
- Develop best practices and create SOPs to document business processes.
- Review business needs among the Instrumentation groups to determine strategies to consolidate and streamline purchases.
- Work with purchasing and finance groups to develop creative solutions for third party brokering, additional vendors for key equipment.
- Associate degree in business, or Electronics Technology required or comparable education.
- Minimum of two years’ experience in instrumentation services and in dealing with suppliers.
- Preferred background in “purchasing” systems, “accounts payable” systems, automotive test equipment and electronic components.
- Must have excellent interpersonal, teamwork, and communication skills. Possess good planning and priority setting skills.
- PC proficient with knowledge in Word, Excel, and SharePoint. Self-motivated and be able to function with minimum supervision. Knowledgeable in department work order system.
