Primary Job Duties:
Financial & Administrative Support
-Maintain and analyze financial and operational data; prepare reports, spreadsheets, and presentations
-Process invoices, expense reimbursements, and petty cash transactions with accuracy and timeliness
-Support budget tracking and maintain organized financial records, files, and databases
-Generate and distribute recurring financial and operational reports
Office Operations & Facilities Coordination
-Oversee office supply, café, and breakroom inventory, including ordering, stocking, and vendor coordination
-Coordinate facilities maintenance, repairs, and service requests to maintain a safe and productive work environment
-Assist with office space planning, workstation setup, and new hire onboarding logistics
-Manage mail distribution and general office workflow processes
Workplace Services & Employee Support
-Serve as a point of contact for day-to-day office needs and operational questions
-Coordinate meetings, events, and office setup logistics
-Support workplace safety and security efforts, including badge administration and equipment monitoring
-Collaborate cross-functionally on office projects and continuous improvement initiatives
Required Skills, Knowledge and Competencies:
Strong organizational skills with exceptional attention to detail
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Effective communication and interpersonal skills with a customer-service mindset
Proficiency in Microsoft Office (Excel, Word, Outlook) and general office technology
Ability to work independently while contributing to a collaborative team
Problem-solving mindset with a proactive, “can-do” approach
Basic understanding of office facilities systems (HVAC, maintenance processes) is a plus
Ability to handle confidential information with professionalism and discretion
Extremely organized, detail-oriented, and able to keep accurate records and follow up.
Ability to lift and carry items weighing up to 35 pounds.
Ability to pack, unpack, and put away various items.
Prolonged standing, walking, and bending in addition to sitting in front of a computer.
The hourly range in New York City for this position is $29.00-32.00/hour; however, the hourly rate offered may vary depending on skill, experience, and job-related knowledge.
