The Virtual Office Assistant is responsible for providing remote administrative, clerical, and operational support to ensure efficient day-to-day business operations. This role assists with scheduling, communication management, document organization, data entry, and administrative coordination while supporting internal teams in a fully remote work environment.

The Virtual Office Assistant plays a key role in maintaining organized workflows, accurate documentation, and professional communication across the organization.

Responsibilities

  • Provide administrative and clerical support to departments and leadership teams
  • Manage calendars, appointments, and meeting scheduling
  • Organize digital files, records, and documentation systems
  • Respond to emails, phone calls, and internal communications professionally
  • Assist with data entry, document preparation, and report generation
  • Coordinate virtual meetings and maintain meeting records when required
  • Support onboarding, scheduling, and workflow coordination activities
  • Maintain confidentiality of company and client information
  • Assist with invoice tracking, expense reporting, and administrative processes
  • Support special projects and operational initiatives as assigned

Requirements

  • High school diploma or equivalent required; associate degree preferred
  • 1–3 years of experience in administrative support, virtual assistance, or office coordination
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
  • Strong attention to detail and time management skills
  • Ability to work independently in a remote environment
  • Strong customer service and problem-solving abilities

Requirements

  • Experience with productivity and collaboration tools such as Microsoft Teams, Zoom, or Google Workspace
  • Familiarity with project and workflow tools such as Asana, Trello, or Monday.com
  • Experience supporting remote or distributed teams
  • Basic bookkeeping, scheduling, or records management experience is a plus
