Job Summary:
This position enters data, invoicing, and billing information into a designated data management system within the JCOD-STOP project. This position is responsible for the operational aspects of tracking and entering data following the policies and procedures associated with these activities. 
  • Daily data entry pertaining to JCOD-STOP and JCOD-STOP student/participant services.
  • Accurate and timely entry of Community Based Provider (CBP) service data and designated data management system.
  • The ability to provide comprehensive quality customer service to all parties at all times as needed.
  • Ensure data security as outlined in Amity Foundation approved Policy and Procedures, and fulfill duties and
  • obligations with respect to the protection, use, and disclosure of protected health information (PHI).
  • Adhere to policies and procedures that ensure the integrity, accuracy and security of all data maintained and submitted into a designated data management system.
  • Abide by Policies and Procedures outlining release of data, maintaining appropriate documentation of participant requests for information and signed Authorization for Release of Information (ROI), if applicable.
  • Maintain an accurate Community Based Provider (CBP) directory as directed.
  • Ensure that technical and procedural best practices related to data security are upheld.
  • May participate in annual training(s) and/or meetings provided by Los Angeles County and/or Amity Foundation.
  • Additional duties as assigned.
  • Required:
  • Possess a high school diploma or its equivalent. Minimum two (2) years data entry experience in a professional office environment.
  • Operational knowledge and proficiency with MS Office (Microsoft Teams, Word, Excel, PowerPoint, Outlook, One Drive) and basic data entry systems.
  • Must have a valid California Driver’s License and be eligible for Amity vehicle insurance.

  • Preferred:
  • Experience or familiarity with behavioral health, healthcare, and/or substance abuse program(s).
  • Within specified contract timeframes, personnel file shall document evidence of participation in the following trainings:
  • New Employee Orientation (Organizational and Programmatic Orientation)
  • Participation in mandatory Grantee or JCOD STOP Subcontractor Orientation
  • Motivational Interviewing
  • Monthly Training

  • Additional training topics relevant to the delivery of treatment services may include:
  • Required Curriculum (if applicable)
  • Agency and project-specific case management and record keeping requirements
  • Appropriate, required individualized treatment/action plan documentation
  • Professional ethics and overfamiliarity

  • CPR Certification, First Aid Certification and an annual Tuberculosis (TB) test

  • Health Insurance Portability Accountability Act (Title 45 CFR Part 164)
  • Signed acknowledgement of Drug Free Workplace policy
  • Signed CDCR Prison Rape Elimination Policy (PREA) form

  • Participate in bi-annual in-service training regarding the background and purpose of the JCOD-STOP, CDCR policies and procedures, the principles of evidence-based programming, the application of any JCOD-STOP forms, and the characteristics of the services offered.
  • Participate in annual training provided by JCOD or LA County.
  • Participate in technical assistance training or other training as appropriate.
  • Understand causes, symptoms, and effects of substance abuse; appreciation for the behavioral, psychological, physical and social effects of drug abuse.
  • Understand contractual parameters of JCOD STOP Data Entry.
  • Understand an array of treatment models available to participants.
  • Operational knowledge of MS-Word, Excel, and data systems.
  • Attention to detail, and ability to manage large amounts of data,
  • Ability to multi-task, identify problems, provide recommendations to management teams, and implement any applicable systems.
  • Ability to work constructively with diverse people and with parties that may have divergent perspectives and interests.
  • Ability to clearly express concepts and direction, both orally and in writing, and to prepare complex reports, policies, and procedures.
  • Excellent interpersonal, written communications and typing skills.
  • Physical Requirements: 
  • Faculty must frequently lift and/or move up to 25 pounds.
  • Frequently required to sit and/or stand for extended periods of time.
  • Frequently sitting and typing for extended periods of time.
  • Occasionally required to reach, walk, climb, pull, push, grasp, stretch, and stoop.
  • Frequently required to talk, hear, see, and use repetitive motions.
  • Frequently able to communicate verbally and in written form.
  • Frequently able to use all types of vision, such as close vision, distance vision, color vision, peripheral vision, and depth perception, to complete daily tasks
  • Required to wear comfortable and office appropriate clothes.

  • Ability to professionally work under pressure with difficult or temperamental students & faculty.

  • The noise level in the work environment is moderate but can be loud.
  • The temperature in the work environment is usually moderate to cool but can be cold or hot.

  • Travel:
  • Will travel locally in California or out of state as needed.
