We are seeking a detail-oriented Transportation and Mobility Services Specialist / Administrative Assistant with strong customer service, scheduling experience to support transportation programs and community services. This position works closely with the Mobility Manager, Office for the Aging, Veterans Services, and transportation providers to coordinate non-emergency transportation services.

The role supports veterans, seniors, individuals with disabilities, and low-income populations by facilitating access to safe, reliable transportation through effective communication, scheduling, and case coordination.

Responsibilities

Provide high-volume customer support by answering inbound calls, responding to transportation inquiries, and documenting all client interactions in tracking systems. Coordinate transportation scheduling, dispatch, and logistics, including volunteer driver assignments and trip coordination through community programs.

Serve as a primary point of contact and liaison between clients, transportation providers, human service agencies, and community partners to ensure timely and effective service delivery. Develop individualized transportation plans, explain eligibility requirements, and connect clients with appropriate public transportation, medical transportation, and community resources.

Perform core administrative support functions, including data entry, database management, recordkeeping, report preparation, and office administration. Maintain accurate billing, transportation usage, and funding documentation in compliance with state, federal, and program reporting guidelines.

Monitor customer satisfaction and service quality, resolve issues, and escalate concerns as needed. Verify funding sources, eligibility, and program compliance, and provide travel training and service education when appropriate. Maintain strong written and verbal communication across internal teams and external stakeholders while identifying and reporting any safety or service concerns.

Candidates should have experience in administrative support, office administration, or program coordination, along with strong customer service and client relations skills. Experience working in high-call-volume environments, including multiline phone systems or call center support, is highly desirable.

Proficiency in data entry, database systems, Microsoft Office (Word, Excel, Outlook), and accurate recordkeeping is required. Strong organizational, time management, and scheduling skills are essential, along with the ability to multitask in a fast-paced environment.

Experience working with transportation services, public transit, non-emergency medical transportation (NEMT), human services, or community-based programs is preferred. Candidates must be comfortable working with diverse populations, including seniors, veterans, individuals with disabilities, and underserved communities.

A High School Diploma or equivalent is required.

Part-time position, approximately 25 hours per week.
