The Operations Manager will coordinate a wide range of responsibilities associated with the Associate Executive Director’s workload, calendar, travel, internal and external communications, presentations, and representation at internal meetings. The Operations Manager will demonstrate strong skills in planning, organization, time management, written and oral communication, high-level confidentiality, adaptability, and flexibility while balancing competing priorities and utilizing professional judgement. The Operations Manager must function efficiently and effectively in a fast-paced, professional environment.

KEY RESPONSIBILITIES

  • Assist the Associate Executive Director with  executing strategic initiatives and organizational priorities.
  • Monitor and report on key operational metrics and performance indicators.
  • Coordinate and track cross-departmental projects and initiatives to ensure timely completion.
  • Conduct research, prepare briefings, and provide recommendations for operational decisions
  • Manage day-to-day operations within the Associate Executive Director’s office, including calendars, meetings, and correspondence.
  • Prepare presentations, reports, and operational documentation for the Associate Executive Director.
  • Ensure smooth communication between the Associate Executive Director and internal/external stakeholders.
  • Provide administrative support to CEO in the absence of Executive Administrator.
  • Analyze workflows and recommend process improvements to increase efficiency and effectiveness.
  • Assist in developing and implementing organizational Standard Operating Procedures.
  • Support the Associate Executive Director  in overseeing overall  operations, ensuring alignment with organization priorities.
  • Act as a point of contact between the Associate Executive Director and other teams or departments.
  • Support team meetings, including agenda preparation, minutes, and follow-up on action items.
  • Facilitate cross-functional collaboration to achieve operational and strategic objectives.
  • Lead or support special projects assigned by the Associate Executive Director.
  • Manage project timelines, budgets, and deliverables in collaboration with senior  leadership team and departments overseers.
  • Ensure that projects support organizational mission and strategic priorities.

Administration and Supervision  

  • Oversee front desk operations and plans, organizes, manages, and evaluates work of the Office Manager.
  • Oversee Office Manager’s scope of work/job performance, provides guidance, support and identify development needs. 
  • Coordinates and provides front desk coverage, when necessary. 

Essential Experience, Knowledge, Skills, and Abilities 

 

  • Bachelor’s degree preferred.
  • 3-5 years’ experience supporting C-Suite executives.
  • Supervisory experience, preferably in the IDD or human services industry in Maryland. 
  • Knowledge of MS Office Suite, collaboration tools, and project management software/platforms.
  • Discreet and professional, with strong judgment in handling sensitive information.
  •  Proactive, solution-oriented, and adaptable.
  •  Must have a professional demeanor and excellent work ethic.
  • Excellent relationship management skills
  •  Strong organizational, planning, and project management skills.
  • Excellent written and verbal communication skills; able to synthesize complex information for executives.
  • High attention to detail and ability to prioritize multiple projects simultaneously.
  • Proficiency in Microsoft Office, collaboration tools, and project management software.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Understanding of nonprofit operations, program delivery, and organizational governance is a plus.

Required Conditions of Employment 

  • Must meet eligibility for employment in the United States. 
  • Must be able to drive and possess a safe driving record. 
  • Must have a clean criminal history. 
  • Must be able to pass a drug screening.
