- Process daily donated vehicle operations at the Concord, NH location, ensuring donations are handled efficiently, cost-effectively, and in alignment with program policies.
- Coordinate vehicle intake, transport, repair, processing, and distribution activities in collaboration with Program Leadership, garage staff, vendors, and external partners.
- Act as a first point of contact in the vehicle donation process, interacting with potential donors and mechanics to facilitate smooth and efficient donations.
- Coordinate with towing companies, volunteer drivers, contract garages, auction houses, and other vendors to maintain smooth operational flow.
- Apply Donated Wheels procedures consistently, identifying opportunities for improved efficiency and quality.
- Troubleshoot logistical challenges, coordinating with various parties to ensure timely processing of donated vehicles.
- Provide efficient, high-quality customer service in all donor and recipient interactions, modeling professionalism and responsiveness.
- Respond to donor and recipient inquiries promptly and professionally, managing communications and follow-up to maintain positive relationships.
- Represent Good News Garage at community events, donor engagements, and outreach activities as needed.
- Provide office operations support for the Good News Garage program, including communication, scheduling, and coordination.
- Maintain accurate completion of required paperwork, electronic records, and filing related to vehicle donations and awards.
- Maintain current electronic and physical filing systems to ensure easy access and retrieval of information.
- Input and manage accounts payable invoices, review for accuracy, and partner with Ascentria’s finance team to bill clients, ensuring accuracy and timeliness.
- Maintain and manage spreadsheets to track program metrics and other administrative needs.
- Assist with weekly, monthly, and year-end operational and financial reporting, ensuring data accuracy and timely submission.
- Assist the Program Manager with issuing and collecting surveys, managing expense reports, and coordinating reporting.
- Track performance metrics, donation flow, and operational outcomes in collaboration with Program Leadership.
- Manage office supplies and coordinate with program leadership for timely replenishment and maintenance of office equipment.
- Uphold a high level of confidentiality in handling sensitive information, ensuring compliance with data management, organizational policies, and safety requirements.
- Support onboarding and cross-training to ensure coverage and continuity of operations.
- Work closely with the Donated Wheels Program Manager to identify operational challenges, recommend improvements, and support program goals.
- Assist with evaluating vehicle acceptance decisions in collaboration with garage staff and Program Leadership.
- Work independently to serve as operational backup to the Program Manager as needed, ensuring continuity of operations.
- Participate in organizational committees or cross-departmental initiatives as assigned, providing input and support to enhance organizational effectiveness.
Perform other duties as assigned to support Good News Garage and Ascentria Care Alliance objectives.
- High school diploma or equivalent required; associate degree preferred.
- Minimum of three (3) years of administrative, customer service, logistics, or operations experience preferred.
- Must have a valid driver’s license and a positive driving record to assist with car donations.
- Excellent customer service skills, with a pleasant telephone manner and the ability to interact courteously with the general public, staff, and vendors.
- Proficiency in Microsoft Office programs (Word, Excel, Outlook); ability to learn new software programs as needed.
- Demonstrated ability to work independently, apply sound judgment, and manage multiple priorities, ensure deadlines are met, and work is prioritized effectively.
Ability to remain calm and solution-focused in a fast-paced or high-volume environment.
