Mission
To support the smooth day-to-day operation of the high school through effective substitute coverage systems and the coordination of major student programs, events, and logistical processes, ensuring operational continuity and allowing school leadership to focus on strategic priorities.
Responsibilities:
High School Programs & Event Operations (60%)
Coordinate and support the operational execution of major high school programs and events, including:
- Week Without Walls (WWW)
- College and career fair
- Drama production support
- Mentoring events
- Graduation logistics
- Support other major student leadership activities requiring multi-stakeholder coordination (Senior Project, Wellness Wednesday, Sin Fronteras, Senior Sleepover, GUAMUN, Noche Bohemia)
Responsibilities Include:
- Event timeline management
- Logistics coordination
- Vendor and facilities communication
- Budget tracking within approved limits
- Parent communication support
- Risk management planning
- Coordination with faculty, counselors, and administration
B. Substitute Coverage Leadership (40%)
Coordinate and oversee substitute coverage systems to support smooth daily high school operations.
Responsibilities Include:
- Assigning substitute coverage
- Coordinating daily coverage logistics
- Communicating directly with faculty regarding coverage needs
- Tracking substitute coverage data
- Prioritizing high-need classroom coverage
- Supporting continuity of instruction during staff absences
Direct classroom substitute coverage may be reduced during major operational periods requiring increased event coordination and leadership.
DECISION RIGHTS & OPERATIONAL AUTHORITY
Within established school procedures and approved budgets, this position may:
- Assign and manage substitute coverage responsibilities
- Communicate directly with faculty and parents regarding operational matters
- Coordinate operational aspects of high school programs and events
- Manage approved event-related expenditures
- Communicate with vendors, sponsors, and external partners
- Support operational decision-making connected to Week Without Walls and other major programs
The role is expected to escalate matters involving:
- Student safety concerns
- Major disciplinary situations
- Significant financial deviations
- Reputational risk
- Exceptions to school policy
Qualifications and experience
- 3+ years of experience in educational operations, logistics, or event coordination
- Experience working with adolescents preferred
- Strong organizational and communication skills
- Comfortable managing timelines, logistics, and multiple priorities simultaneously
- Fluent with Google Workspace for Education (Google Sheets, Docs, and Calendar preferred)
