Audubon is currently seeking a Materials Coordinator to join our team at the Houston, TX office. The Materials Coordinator supports the implementation and day-to-day use of Audubon’s AIMS materials management tools on EPC and construction projects. Coordinates project material tracking, documentation, receiving, storage, field updates, and reporting so project teams have reliable information to support procurement, construction, and schedule needs.

 

Responsibilities

  • →Support implementation and consistent use of AIMS materials management workflows on assigned EPC and construction projects, following established company and project procedures.
  • →Maintain project material records in AIMS, including material status, quantities, purchase order references, required dates, receiving information, storage location, and supporting documentation.
  • →Coordinate with project procurement, field teams, project controls, vendors, and other stakeholders to obtain updates and resolve missing or inconsistent material information.
  • →Assist with monitoring material requirements, commitments, deliveries, and shortages against project schedules; identify potential constraints and elevate issues to the appropriate project or supply chain lead.
  • →Coordinate receiving site activities by helping confirm deliveries against available purchase order and shipping information, documenting discrepancies or damage, and routing issues for resolution.
  • →Help ensure materials are properly identified, marked, stored, and documented in accordance with project requirements and established procedures.
  • →Prepare and distribute routine AIMS and project material status reports, look-ahead information, and other records required by the project team.
  • →Support review of material invoices and purchase order closeout by gathering receiving records and other supporting documentation and directing discrepancies to the responsible project or procurement contact.
  • →Provide basic AIMS and project materials process guidance to field and project users; help onboard users and document questions or recommended improvements.
  • →Maintain accurate, timely project records and communicate status changes promptly. Perform other related duties as assigned.

 

  • →All employees are responsible for supporting Audubon Companies’ Health, Safety, and Environmental (HSE) policies and procedures. This includes:
  • →Performing duties in a manner that protects personal and team health and safety
  • →Participating in required HSE training, meetings, and reporting activities
  • →Identifying and reporting hazards, near misses, and unsafe conditions
  • →Following safe work practices and complying with applicable regulatory requirements

         

Requirements

  • Enter required and preferred educational requirements, prior work experience, skills, abilities and knowledge requirements to perform this position below:
  • Experience in project material tracking, construction coordination, procurement support, receiving, logistics, or project documentation preferred.
  • Experience using AIMS or another materials management or ERP system preferred; ability to learn project systems, spreadsheets, document repositories, and client reporting tools required.
  • Strong organization, communication, attention to detail, and follow-through skills.
  • Ability to coordinate effectively with field teams, project controls, procurement, vendors, clients, and other stakeholders.
  • Basic understanding of construction or EPC project workflows preferred. Willingness to travel to project sites as required.
