Purpose

The Fleet Manager oversees the full lifecycle of 700+ cargo vans, haul-away tractor/trailer rigs, pickup trucks, and other equipment operating across the United States and Canada. This role is responsible for managing procurement, maintenance, replacement planning, licensing/compliance, vendor management, and fleet performance optimization. The Fleet Manager ensures vehicles are safe, reliable, cost‑efficient, and fully compliant with all regional regulations.

Essential Duties

Fleet Operations & Maintenance

  • Lead the fleet maintenance program, including preventive schedules, repairs, and inspections.
  • Manage breakdown response, roadside assistance, and high‑priority repairs across multiple regions.
  • Manage fleet service providers and vendor relationships, including service quality, performance, availability, and adherence to contractual requirements, in partnership with Procurement. Monitor fleet health using telematics and maintenance data to reduce downtime and extend vehicle life.
  • Establish processes for vehicle assignment, driver accountability, vehicle inspections, maintenance reporting, and timely resolution of vehicle-related issues.

Procurement, Replacement & Lifecycle Management

  • Develop annual vehicle replacement plans based on mileage, hours, condition, and total cost of ownership.
  • Forecast fleet needs and coordinate large‑scale vehicle orders with OEMs and leasing partners.
  • Standardize vehicle specifications to optimize cost, performance, and operational consistency.
  • Manage capital and operating budgets related to fleet acquisition and maintenance.
  • Manage vehicle disposition, including remarketing, sale, auction, trade-in, or disposal of vehicles at the end of their useful life, maximizing residual value.

Compliance, Licensing & Regulatory Management

  • Ensure compliance with U.S. Department of Transportation, Transport Canada, and state/ provincial regulations.
  • Oversee all vehicle licensing, registration, renewals, and inspection documentation.
  • Maintain accurate records and audit‑ready compliance files across all jurisdictions.
  • Manage outside third-party regulatory compliance service provider for fleet of haul-away tractor/trailer rigs.

Fuel, Cost Control & Budget Management

  • Administer fuel card programs, monitor usage, and implement controls to reduce fraud and waste, in partnership with Procurement.
  • Analyze fleet utilization and operational demand to optimize vehicle allocation across locations and ensure fleet capacity aligns with business needs.
  • Track and analyze fleet KPIs, including cost per mile, downtime, utilization, and repair trends.
  • Identify and execute cost‑reduction initiatives without compromising safety or reliability.

Telematics, Technology & Reporting

  • Manage telematics platforms to improve routing, safety, maintenance, and fuel efficiency.
  • Maintain fleet management software systems and ensure data accuracy.
  • Produce monthly and quarterly fleet performance reports for leadership.

Safety, Risk & Incident Management

  • Partner with operations and safety teams to implement driver safety programs and monitor behavior through telematics.
  • Partner with the Safety, Claims, and Risk Management team on vehicle accident reporting, insurance claims, repair coordination, and return-to-service activities.
  • Partner with operations and safety teams to identify high‑risk patterns and develop corrective action plans.

Leadership & Collaboration

  • May supervise fleet coordinators, analysts, or regional support staff as assigned.
  • Partner with operations, finance, procurement, and safety teams to align fleet strategy with business needs.
  • Develop, implement, and maintain fleet policies, standards, and procedures governing vehicle use, maintenance, safety, assignment, replacement, and compliance.
  • Communicate fleet policies, updates, and expectations to internal stakeholders.
  • Develop and maintain contingency plans for significant fleet disruptions, including widespread vehicle failures, severe weather, supply-chain constraints, and vendor/service interruptions.
  • Perform other duties as assigned.

Minimum Education and Experience Requirements

  • 7+ years of experience in fleet management, transportation, logistics, or related operations
  • Experience managing 500+ vehicles across multiple regions
  • Strong knowledge of U.S. Department of Transportation, Transport Canada, and state/provincial regulations
  • Experience with fleet management software and telematics platforms
  • Proven vendor negotiation and contract management skills
  • Strong analytical skills with the ability to interpret fleet data and KPIs
  • Excellent communication and leadership abilities

Preferred Experience

  • Experience managing tractor/trailer rigs, cargo vans, and pickup trucks specifically
  • Background in multi‑state/province licensing and compliance
  • Budget management experience over $5M annually
  • Lean, Six Sigma, or continuous improvement experience

Performance Metrics

  • Fleet uptime and utilization rates
  • Preventive maintenance compliance
  • Cost per mile and total cost of ownership
  • On‑time licensing and compliance completion
  • Vendor performance and cost savings achieved

Work Environment

  • Although the position is in Dearborn, Michigan, domestic and international travel is required up to 25% of the time.
  • This position is currently hybrid, allowing for both remote and in-office work. The hybrid schedule is subject to change at any time at the direction of management.
