ABOUT THE ROLE

The IT Coordinator will provide strategic and operational leadership for all information technology functions across KVSS and Kopila Valley School (KVS). This role is responsible for ensuring secure, reliable, and efficient IT systems that support education, programs, administration, communication, and organizational growth.

The position will oversee infrastructure, cybersecurity, software systems, user support, digital transformation initiatives, data management, and technology planning. The IT Coordinator will work closely with KVSS/KVS leadership including school principle and teachers/staff, program teams, and external partners to strengthen technology use across the organization.



CORE RESPONSIBILITIES

  1. IT Strategy & Leadership: Lead the overall IT vision, planning, and implementation aligned with organizational goals and future growth.
  2. Infrastructure & Systems Management: Ensure reliable operation of networks, hardware, software, servers, internet connectivity, and digital platforms across KVSS/KVS.
  3. Cybersecurity & Data Protection: Establish and maintain strong systems for cybersecurity, access control, backup, privacy, and risk management.
  4. User Support & Capacity Building: Ensure responsive IT support services and build staff capacity to effectively use technology systems and tools.
  5. Digital Innovation & Continuous Improvement: Identify and implement technology solutions that improve efficiency, learning, collaboration, and decision-making.
  6. IT Audit & Compliance: Ensure effective IT audit, compliance, cybersecurity, data protection, user access control, child-safe technology practices, and timely reporting and resolution of identified risks and gaps.



DETAILED RESPONSIBILITIES

The IT Coordinator will be mainly responsible for overseeing the following areas of responsibility:




  1. IT Strategy & Leadership: Lead the overall IT vision, planning, and implementation aligned with organizational goals and future growth.

  • Develop an annual IT plan, roadmap, and priorities.
  • Advise leadership on technology investments, risks, and opportunities.
  • Develop IT policies, standards, and governance frameworks.
  • Lead IT budgeting, procurement planning, and resource allocation.
  • Ensure technology supports long-term sustainability and scalability.




  1. Infrastructure & Systems Management: Ensure reliable operation of networks, hardware, software, servers, internet connectivity, and digital platforms across KVSS/KVS.
  • Oversee all IT infrastructure, including LAN/Wi-Fi, internet, devices, printers, CCTV, and communication systems.
  • Manage procurement, inventory, maintenance, and lifecycle replacement of IT assets.
  • Ensure school and office systems remain functional with minimal downtime.
  • Manage cloud platforms, productivity tools, email systems, and collaboration software.
  • Supervise installation, upgrades, patches, and system performance optimization.
  • Coordinate with vendors and service providers for technical services and support.

 


  1. Cybersecurity & Data Protection: Establish and maintain strong systems for cybersecurity, access control, backup, privacy, and risk management.
  • Implement cybersecurity measures including antivirus, firewalls, MFA, password policies, and endpoint protection.
  • Manage user access rights and system permissions.
  • Ensure regular backups, disaster recovery readiness, and business continuity planning.
  • Protect confidential student, staff, donor, and organizational data.
  • Conduct risk assessments and respond to incidents promptly.
  • Promote safe and responsible technology use across the organization.




  1. User Support & Capacity Building: Ensure responsive IT support services and build staff capacity to effectively use technology systems and tools.
  • Lead helpdesk/user support services for staff, teachers, and students.
  • Troubleshoot hardware, software, network, and account issues.
  • Train users on systems, cybersecurity awareness, and digital tools.
  • Develop user guides, SOPs, and training materials.
  • Support technology integration in classrooms and learning environments.
  • Build a service-oriented culture within the IT function.




  1. Digital Innovation & Continuous Improvement: Identify and implement technology solutions that improve efficiency, learning, collaboration, and decision-making.
  • Identify opportunities for automation and process improvement.
  • Support implementation of MIS, HRIS, LMS, ERP, or other digital systems as needed.
  • Promote data-driven decision-making through dashboards and reporting tools.
  • Explore emerging technologies relevant to education and nonprofit operations.
  • Lead change management for new systems and digital transformation projects.
  • Monitor trends and recommend improvements proactively.




  1. IT Audit & Compliance: Ensure effective IT audit, compliance, cybersecurity, data protection, user access control, child-safe technology practices, and timely reporting and resolution of identified risks and gaps.
  • Conduct regular asset and software audits to ensure all IT equipment and software licenses are properly recorded, valid, and up to date.
  • Perform periodic network and user access audits, including review of system access, removal of ex-staff accounts, and enforcement of least-privilege access principles.
  • Ensure strict data protection and privacy compliance, including secure storage, restricted access, and prevention of unauthorized data sharing.
  • Enforce child safety and IT usage policies, including safe internet practices, content restrictions on school systems, and regular staff training on IT policies and digital responsibility.
  • Maintain structured audit reporting and follow-up systems, including documentation of findings, prioritization of risks, reporting to leadership, and tracking corrective actions until closure.





ADDITIONAL EXPECTATIONS

The IT Coordinator is also expected to:

  • Demonstrate professionalism, confidentiality, and integrity in all duties.
  • Foster cross-functional collaboration and positive working relationships.
  • Respond promptly to urgent technical issues and operational risks.
  • Ensure documentation of systems, licenses, assets, and configurations.
  • Support events, meetings, trainings, and special initiatives requiring IT setup.
  • Be available outside regular hours for critical incidents when required.
  • Promote child-safe and ethical technology practices.
  • Embrace and actively support organizational values including care, gender equity, inclusion, and sustainability.
  • Undertake additional responsibilities as assigned by management.

REQUIREMENTS



Education

  • Bachelor’s degree in Information Technology, Computer Science, Information Systems, Engineering, or related field.
  • Master’s degree or relevant professional certifications will be an advantage.



Experience and Skills

  • Minimum 5–7 years of progressive IT experience, including leadership responsibility.
  • Proven experience managing networks, systems, cybersecurity, and user support.
  • Strong knowledge of Windows/macOS environments, cloud platforms, and productivity tools.
  • Experience with IT budgeting, procurement, and vendor management.
  • Strong troubleshooting and analytical problem-solving skills.
  • Experience with databases, reporting tools, and information systems is an advantage.
  • Understanding of school or nonprofit IT environments is preferred.
  • Ability to manage multiple priorities in a dynamic environment.
  • Excellent communication and stakeholder management skills.



Language

  • Fluent in Nepali and English.
