Reports to: Associate Manager-Children’s Home

Direct reports to this Position: 5-7 employees mostly caregiving roles

Along with lifelong gift education to the disadvantaged children, we support their family members to improve their living standards and make it sustainable through holistic programs ranging from children’s home, health and wellness through women empowerment to career guidance/counseling, and scholarships for further studies. Our Children’s Home being the legacy of Kopila Valley, provides a safe, loving, and stable home for children in extreme cases of need, when all other options have been exhausted. We provide care for our young children to live happy, healthy, safe lives while building positive characteristics to develop into thriving adults while placing important attention to root family connection. We do this with our funding partner BlinkNow Foundation and in close ties with the local government and communities.

 

Position Summary:

Under the overall guidance of Associate Manager-Children’s Home, the Residence Incharge-Children’s Home is responsible for creating a safe, nurturing and development-focused living environment where every child can thrive and reach their full potential. The role oversees the day-to-day operations of the Children’s Home, including planning, monitoring, reporting, and ensuring alignment with organizational standards and frameworks.  The position supervises the caregiving team, promotes effective interdepartmental coordination, and ensures smooth program delivery. It also involves providing coaching, mentoring, and capacity building support to staff to strengthen childcare practices and promote independent, high-quality performance.

 

The Residence Incharge maintains close coordination with Kopila Valley School, Enrichment Coordinator to support children’s learning and overall development. S/he is responsible for maintaining accurate documentation, managing databases, and submitting regular updates and reports to the supervisor, ensuring the effective and efficient functioning of Children’s Homes. 

 

 

The Main Responsibilities:

1.Ensure smooth daily operations of the Children’s Home through effective planning, monitoring, and active presence within the residence.

2.Lead capacity building of the caregiving team through coaching and mentorship, ensuring a nurturing, safe and supportive environment for both children and staff.

3.Maintain accurate records and documentation of children’s files and related information.

4.Support the Enrichment Coordinator in organizing and facilitating in-house activities in coordination with relevant programs within the organization.

Detailed Responsibilities:

1.Ensure smooth daily operations of the Children’s Home through effective planning, monitoring, and active presence within the residence..

  • Together with the caregivers, create a timetable for daily routines within the Kopila Valley Children’s Home residence and ensure the routines are followed.
  • Administer the children’s care at home and empower caregivers to independently take care of their children.
  • Support the team in the participatory planning process and ensure all team members have a detailed implementation plan including timelines.
  • Maintain and update detailed information of children and manage databases.
  • Request necessary items for the Children’s Home for the residence and its individual houses to run seamlessly.
  • Maintain full readiness to step into active, on-the-ground caregiving whenever a house requires immediate support.
  • Ensure effective implementation of the Children’s Home Operational Guideline prepared by NCRC.

 

2.Lead capacity building of the caregiving team through coaching and mentorship, ensuring a nurturing, safe, and supportive environment for both children and staff.

  • Set annual and quarterly goals of the team and ensure everyone is aligning with set goals and priorities, and monitor the timely delivery of quality results.
  • In collaboration with the team and the supervisor, develop and share weekly priorities and updates.
  • Coordinate with the caregivers to improve the holistic care of the children within the house.
  • Create a learning and sharing environment to build the capacity of team members in child protection, caregiving, coaching and mentorship so that they are able to deal with children decently and in line with the child protection protocol.
  • In coordination with the team members, ensure to provide the children with individual/one-on-one time and group counseling to express their needs, issues and challenges so that individualized support is possible tailoring to their needs.
  • Lead daily gathering (satsang) for children after dinner.
  • Provide need based one-on-one support to caregivers and conduct bi-monthly meetings with the caregivers to ensure their well being, appreciate good practices and address any challenges as well.
  • Coordinate with the Enrichment Coordinator and school teachers to monitor each child’s academic progress and enrichment needs, and implement appropriate home-based support and interventions to promote their success.

3.Maintain accurate records and documentation of children’s  files and related information.

  • Ensure children’s personal detailed files are intact and updated as per the NCRC operational guidelines for Children’s Home.
  • Support the finance team for any children related expenses settlement.
  • Provide need based support for procurement and inventory management as per the need for the caregivers.
  • Support in keeping the children’s health files intact and follow up for any medical needs.

4.Support the Enrichment Coordinator in organizing and facilitating in-house activities in coordination with relevant programs within the organization.

  • Support the Enrichment Coordinator in planning and implementing all enrichment activities for the children.
  • Ensure that all annual planned activities are executed smoothly under the guidance of the Enrichment Coordinator.
  • Support the Enrichment Coordinator in organizing workshops to develop children’s employability, leadership, and life skills.
  • Collaborate with the Enrichment Coordinator to encourage children’s participation in creative projects and events that enhance their learning and confidence.
  • Work closely with the Enrichment Coordinator to evaluate the effectiveness of enrichment activities and suggest improvements.



Additional expectations:

  • Support children in their study time/ homework time as per the need and be present for them.
  • Takes ownership of overall residence and children to carry out the planned activities smoothly.
  • Take responsibilities for health related issues in the absence of the in house nurse with the help of the health assistant.
  • Build positive working relationships and environment in the organization by bringing solutions to the discussion table.
  • Report to the manager on a weekly basis, and as needed in case of urgent activities
  • Acts swiftly to respond emergency circumstances and humanitarian assistance activities of the organization
  • Build and maintain a strong relationship with the staff, children and relevant stakeholders
  • Attend weekly staff meetings, and share operational updates
  • Support in requesting the necessary items from the vendors and get the items from the market as per the need, especially when the procurement is on leave.
  • Cater to the immediate needs of the children by being present.


The above list of responsibilities is not comprehensive, and the Coordinator- Children’s Home may be required to take on additional responsibilities, as determined by his/her supervisor

 

Requirements:

Education

  • Minimum bachelor's degree in social science or education.

Experience and Skills

  • At least 3 years of proven experience in a residential care or child protection field.
  • A good communicator, and fluent in Nepali and English.
  • Basic computer skills and financial knowledge.
  • Ability to manage, mentor and lead children, youth, their activities
  • Passionate about and cares for children and vulnerable population; initiator, and competent in managing operations and logistics in the organization.
  • Works collaboratively and independently with the least supervision required.
  • Can take immersive roles and lead by examples.
