Our client is seeking a Maintenance Planner responsible for preparing high-quality, executable maintenance work packages and for developing and maintaining the maintenance schedule to support safe, reliable, and efficient maintenance execution at their facility. This role ensures maintenance work is fully defined, planned, permitted, kitted, and ready prior to scheduling, enabling predictable execution during normal operations, campaigns, grade changes, and planned outages.
The Maintenance Planner partners closely with Facilities and Maintenance Engineering, Maintenance leadership, Quality, Production, and Supply Chain to ensure maintenance readiness is aligned with production campaigns and overall plant priorities. This role is primarily office-based, with regular field walk-downs to validate job plans and equipment conditions.
• Ensure all planned and scheduled maintenance activities comply with OSHA, EPA, and applicable local regulations, as well as company EHS and quality standards
• Integrate safety requirements into job plans, including LOTO, hot work, confined space, and chemical exposure controls
• Verify that only planned, permitted, and safety-ready work is scheduled
• Clearly define permit and safety requirements within all work packages
• Support mechanical integrity and process safety initiatives
• Develop and maintain daily and weekly maintenance schedules, supporting overall plant priorities
• Coordinate maintenance schedules with production campaigns, batch windows, and grade changes
• Balance labor availability, craft capabilities, equipment access, and operational constraints
• Support scheduling activities as a secondary responsibility, ensuring planned work is effectively placed on the schedule
• Create detailed job plans for corrective, preventive, and predictive maintenance activities
• Define work scope, labor estimates, tools, materials, permits, and procedures
• Ensure all jobs are fully planned and “kitted” with required materials prior to scheduling
• Develop standardized job plans for recurring work and campaign-specific activities
• Ensure job plans are technically sound and executable in the field
• Incorporate lessons learned and supervisor feedback into future planning efforts
• Identify required materials and spare parts for planned maintenance activities
• Procure parts and materials in alignment with planning timelines and campaign schedules
• Collaborate with Procurement and Supply Chain on vendor selection, pricing, and delivery
• Identify and manage long-lead and critical spare parts
• Maintain appropriate inventory levels to balance reliability, cost, and storage constraints
• Ensure spare parts are properly identified, labeled, and stored
• Support cycle counts, inventory audits, and obsolescence reviews
• Maintain accurate spare parts data within the CMMS
• Identify long-lead items and proactively manage planning timelines
• Ensure all work orders are fully kitted and ready prior to scheduling
• Minimize delays caused by missing, incorrect, or late materials
• Develop, maintain, and optimize preventive maintenance (PM) job plans
• Evaluate PM effectiveness based on failure data and feedback
• Ensure PM programs align with mechanical integrity and reliability strategies
• Support predictive maintenance initiatives where applicable
• Monitor and report schedule compliance and attainment
• Identify root causes of schedule deviations
• Support corrective actions to improve schedule adherence
• Maintain maintenance schedules and work order data within the CMMS
• Ensure accurate labor, duration, and resource data is used for planning and scheduling
• Support data integrity and reporting accuracy
• Utilize CMMS tools as applicable to support planning activities
• Identify opportunities to enhance planning effectiveness and scheduling predictability
• Support efforts to reduce reactive and emergency maintenance
• Improve coordination between maintenance and operations
• Contribute to reliability and cost optimization initiatives
Requirements

• Practical knowledge of maintenance operations, including mechanical systems, inventory, and tools
• Hands-on maintenance experience is a plus, but not required
• Ability to plan, prioritize, and drive work to meet schedules and deadlines in a fast-paced environment
• Proven ability to proactively identify needs, solve problems, and take initiative without waiting for direction
• Ability to schedule, assign, and review maintenance work effectively
• Understanding of service work orders and parts inventory processes
• Ability to adjust priorities as business needs evolve
• Strong verbal and written communication skills, both internally and with vendors/contractors
• Proficiency with standard computer applications, including word processing and spreadsheets
• Strong attention to detail
