Responsibilities

  1. Governance: Actively participate in the Academic Board, Management Review Committee and any other governance committee as required providing strong oversight of and support to other Offices, Faculties, Centres and Departments within the University in the areas of management information and ERP systems, student and alumni data management, certification, and assessment administration.
  2. Service delivery: Ensure that appropriate user-friendly services are provided to students and staff as relates to these same areas.
  3. Student information management:
    1. Ensure that physical and digital student and alumni information is complete, up to date, secure and accessible
    2. Provide appropriate reports on and analysis of student and alumni data to support institutional strategic decision-making.
  4. ERP systems management:
    1. Ensure that existing information systems (ERP and related systems) are operational and used effectively for improved organisational decision-making and efficiency.
    2. Identify other information systems solutions which can enhance operational efficiency and effectiveness.
  5. Assessment administration and academic honesty:
    1. Ensure that assessments are set and run, and results are captured as per University guidelines and regulations, through appropriate usage of assessment management systems.
    2. Ensure that the highest standard of academic honesty is maintained in all assessments, through consistent and effective use of appropriate software and other tools, education and necessary penalties.
  6. Staff Management:
    1. Ensure the availability of adequate human resources within the Office at both staff and managerial levels, including the recruitment of staff and establishment of structures as required.
    2. Monitor and manage staff performance, including taking appropriate disciplinary action when required and getting involved with labour law matters when requested by the Human Resources department.
    3. Promote and maintain high standards of work ethic and performance amongst staff; recommend top performing staff for relevant awards.
  7. Quality Management System:
    1. Ensure the effective implementation and maintenance of QMS in the department
    2. Ensure all quality standards of the department are met
  8. Technical Representative:
    1. Ensure all the technical department work is going on smoothly with the help of technical Manager, ISD team and Main campus.
  9. Library Representative and QCD Representative:
    1. Ensure all the Library department work is going on smoothly with the help of Library Manager, Main campus.
    2. Ensure QCD, QMS has been implemented in all the departments.
    3. Conducting monthly QMS meeting, creating awareness about controlled documents and usage of controlled documents, risk management system
    4. Assisting departments on CAPA (NC).
    5. Scheduling and conducting internal audits.
  10. General: a commitment to growing and developing the university and its greater community
    1. Work to achieve the vision and mission of the university by developing and implementing appropriate strategies, policies and procedures.
    2. Build and maintain positive and effective working relationships with colleagues across the university at all campuses, partner institutions, internal stakeholders and external stakeholders.
    3. Work with all colleagues to provide a conducive working and learning environment for staff and students.
    4. Take necessary steps to build and maintain positive morale and a spirit of learning and togetherness amongst staff.
    5. Be a member of and participate in any other governance committee as required.
    6. Perform any other role or responsibility as may be allocated by the Pro-Vice-Chancellor Education and Quality from time to time.
