As the Workplace Services Team Manager, EMEA at Box, you will lead the strategy, operations, and community experience across our Warsaw and London Hubs, as well as regional co-working locations. You will be the driving force behind a productive, welcoming, and innovative workplace environment for Boxers across EMEA — overseeing a regional team, managing vendor relationships, and championing employee experience initiatives that reflect Box's culture and values.

Responsibilities

  • Oversee day-to-day workplace operations as part of the Communities and Impact team across the Warsaw and London hubs, ensuring productive, safe, and welcoming environments and a culture of belonging for all Boxers.

  • Lead office space allocation and layout planning to seamlessly support a rapidly growing team, including moves, office build-outs, and reconfigurations.

  • Partner closely with building management on maintenance, leasehold operations, and infrastructure requirements across EMEA locations.

  • Manage relationships, tenders, onboarding, and service delivery with external vendors including cleaning and janitorial services, food and beverage programs, facility maintenance, repairs, and non-IT procurement.

  • Lead, mentor, and develop the regional Workplace Services team based in Warsaw and London.

  • Set regional standards, priorities, and workflows to ensure high-quality, consistent service delivery across all EMEA locations.

  • Own end-to-end planning, forecasting, tracking, and reconciliation of regional Workplace Services operational budgets, event budgets, and employee resource group allocations in partnership with Accounts Payable and Finance.

  • Maintain strong partnerships with key internal functions including Warsaw site lead, Real Estate, Physical Security, End User Support, Network Engineering, People Team, Benefits, Accounts Payable, and Executive Assistants.

  • Support global teams in creating ESG reports, audits, and Health & Safety compliance documentation.

  • Act as a key workplace representative at Warsaw All Hands, weekly site manager forums, and provide regular support during Site Lead office hours.

  • Continuously enhance office life by implementing innovative workplace solutions such as enhanced catering and coffee programs, space improvements, mobile access solutions, and wellbeing initiatives.

  • Plan, budget, and execute identified local events, regional team celebrations, holiday events, happy hours, and milestone office opening gatherings.

  • Lead the initial onboarding meeting for new hires, serving as a knowledgeable and welcoming point of contact for all employees and vendors.

  • Oversee Slack communication management for Poland and Warsaw channels, ensuring timely and accurate information flow across the team and broader organisation.

  • You have proven experience managing workplace services, facilities, or office operations in a large, complex corporate environment — ideally within a global technology company.

  • You bring strong negotiation skills and are comfortable managing both internal stakeholder relationships and external vendor contracts.

  • You have demonstrated experience leading and developing a team, with a track record of building high-performing, engaged workplace services professionals.

  • You are skilled in regional project management, coordinating cross-functional initiatives across multiple departments and geographies simultaneously.

  • You have experience managing operational and event budgets, including forecasting, tracking, and reconciliation in partnership with Finance and Accounts Payable.

  • You bring excellent organisational skills and the ability to manage multiple priorities in a fast-moving environment.

  • You are a strong communicator who can represent Workplace Services and Communities & Impact during onboarding, manager forums, and company-wide events.

  • You have a solid understanding of Health & Safety compliance, ESG reporting, and audit processes.

  • You must speak English proficiently; Polish language skills are strongly preferred for this Warsaw-based role.

  • Preferred Skills

    • Experience working in a high-growth technology or SaaS company environment.

    • Familiarity with employee resource group programming and community impact initiatives.

    • Experience with co-working space management and multi-site operations across EMEA.

    • Prior involvement in office opening or build-out projects.
