The Major Gifts Portfolio Manager serves as a strategic fundraising partner to the Executive Director and is responsible for managing and advancing a portfolio of major donor prospects and supporters. This position plays a critical role in helping the Executive Director maximize fundraising effectiveness by coordinating donor strategy, managing portfolio activity, facilitating stewardship plans, preparing solicitation opportunities, and ensuring donors receive an exceptional philanthropic experience.
The successful candidate is highly organized, relationship-oriented, and results-driven, with the ability to manage multiple donor strategies simultaneously while maintaining excellent attention to detail. This role serves as the primary portfolio manager for the Executive Director's major donor pipeline and helps drive increased private philanthropy in support of Catholic Charities Foundation's mission.
Responsibilities
~1 min read- Manage and strategically advance a portfolio of approximately 100-150 major gift donors and prospects assigned to the Executive Director.
- Collaborate and strategize with the Executive Director to execute individualized cultivation, solicitation, and stewardship strategies for each donor.
- Monitor and manage donor movement through the fundraising pipeline, ensuring timely follow-up, engagement, and solicitation activity.
- Conduct regular portfolio reviews with the Executive Director to evaluate progress, identify opportunities, and prioritize outreach activities.
- Monitor key portfolio metrics and identify opportunities for increased giving, upgraded gifts, planned gifts, and multi-year commitments.
- Coordinate and support meaningful donor engagement activities including in-person meetings, virtual meetings, phone calls, site visits, events, and personalized correspondence.
- Support Executive Director to conduct 8-10 meaningful donor interactions weekly.
- Prepare donor briefing materials, talking points, donor histories, and strategic recommendations prior to meetings.
- Ensure timely follow-up after donor meetings and engagement opportunities.
- Help build strong relationships with donors, prospects, volunteers, board members, and Catholic Charities leadership.
- Partner with the Executive Director to develop and implement annual major gift fundraising strategies.
- Create customized proposals, funding requests, gift agreements, impact reports, and solicitation materials aligned with donor interests and organizational priorities.
- Research donor capacity using CCF’s DonorSearch software philanthropic interests and giving history to inform solicitation strategies.
- Coordinate gift requests ranging from major annual support to transformational and planned giving opportunities.
- Track proposal activity, funding opportunities, and solicitation outcomes.
- Develop comprehensive stewardship plans for major donors and prospective supporters.
- Coordinate personalized donor communications, impact reporting, recognition opportunities, and engagement experiences.
- Ensure donors receive timely acknowledgment, reporting, and meaningful demonstrations of mission impact.
- Work collaboratively with program and regional leaders to gather outcomes, stories, and impact information for donor stewardship.
- Support donor retention, renewal, and long-term relationship development.
- Maintain accurate and timely records of all donor interactions, strategies, proposals, and next actions within the donor database.
- Ensure portfolio activity is documented within established standards and timelines.
- Generate reports, dashboards, and portfolio analyses to support fundraising decision-making.
- Track progress toward portfolio goals, fundraising targets, and key performance indicators.
- Maintain confidentiality and integrity of donor information.
- Partner closely with the Executive Director, Foundation team, communications staff, program leadership, and regional directors to align donor interests with funding priorities.
- Participate in prospect strategy sessions and moves management meetings.
- Identify opportunities to connect donors with emerging initiatives, capital projects, grants, endowment opportunities, and regional priorities.
- Support Foundation events and donor engagement activities as needed.
Requirements
~1 min read- Bachelor's degree or equivalent combination of education and experience.
- Three to five years of progressively responsible fundraising, major gifts, donor relations, nonprofit development, or relationship management experience.
- Demonstrated success managing donor portfolios and advancing prospects through the fundraising cycle.
- Strong written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines simultaneously.
- Experience using donor CRM systems and fundraising databases.
- Strong project management and analytical skills.
- Commitment to the mission and values of Catholic Charities.
Nice to Have
