The Total Rewards Specialist supports the day-to-day administration of the company’s total rewards programs, with a focus on health & welfare benefits, retirement plans, and employee wellness initiatives. This role also provides administrative support to the Leaves of Absence, Workers’ Compensation and HRIS functions, ensuring timely, accurate, and compliant processes that enhance employee experience and mitigate risk. The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced environment with a high volume of transactions and deadlines.

What We Offer
~2 min read- Assist employees with plan enrollment, contribution changes, loans, and distributions questions; direct to provider resources as needed.
- Support contribution and eligibility audits; monitor catch-up contributions, auto-escalations, and automated enrollments for accuracy[SB1.1].
- Support data file exchanges with the plan recordkeeper; partner with Payroll on deductions, limits, and year-end true-ups.
- Support compliance activities (e.g., nondiscrimination testing data, annual audit documentation, Form 5500 inputs).
- Support employee education campaigns and communications to drive participation and financial wellness.
- Coordinate wellness programming and campaigns (e.g., health challenges, screenings, webinars); track participation and outcomes.
- Maintain wellness portal content and communications calendar; ensure alignment with benefits strategy and vendor requirements.
- Support incentives administration (e.g., premium credits, HSA/HRA contributions); validate completions and manage issue resolution.
- Maintain accurate employee records in HRIS/benefits systems; perform routine audits and reconciliations.
- Prepare dashboards and reports (enrollment, 401(k) participation, wellness uptake, LOA/WC metrics) for leadership and compliance.
- Support policy updates and regulatory changes; ensure documentation remains current and accessible.
- Protect sensitive data and uphold privacy standards in line with company policies and HIPAA.
- Deliver a high-touch, empathetic service experience; resolve issues end-to-end with ownership and accountability.
- Identify process gaps; recommend improvements to streamline workflows, enhance clarity, and reduce errors.
- Contribute to cross-functional projects in Total Rewards and HR, including system enhancements and vendor transitions.

Requirements
~1 min read- Bachelor’s degree in human resources, related field; or equivalent experience.
- 3–5 years in benefits, HR operations, or total rewards support.
- Working knowledge of health & welfare benefits, 401(k) plans, and basic compliance (ERISA, HIPAA, ACA, FMLA).
- Experience with HRIS/benefits platforms (e.g., Workday, UKG/UltiPro, ADP).
- Strong Excel and data reconciliation skills; comfort with audit checklists and file validations.
- Clear written and verbal communication; ability to translate complex topics into employee-friendly guidance.
- High attention to detail, confidentiality, and organization; ability to manage multiple priorities and deadlines.
Nice to Have
~1 min read- Experience supporting Leaves of Absence and/or Workers’ Compensation administration (in-house or via TPA).
- Familiarity with retirement recordkeepers (e.g., Fidelity, Vanguard, Principal).
- Exposure to wellness platforms and incentive administration.
- HR or benefits certification (e.g., SHRM-CP, PHR, CEBS) a plus.
- Full-time Monday-Friday; hybrid schedule (4-days in-office, 1-flex remote day after 60 days of employment) (subject to change).
- Occasional extended hours during audits, Open Enrollment or Base Visits.
- Computer work, in a typical office environment for the majority of the day.
- Repetitive motion such as: typing on the computer and phone work.
- Minimal physical exertion such as: pulling, pushing, reaching, bending, standing, walking, and light lifting of boxes, bags, files, and electronic equipment not in excess of 30 lbs.
