Medical Assistant

The Medical Assistant plays an integral role in delivering exceptional patient care within the Minimally Invasive Gynecologic Surgery (MIGS) Division. Working collaboratively with physicians and advanced practice providers, this position supports the delivery of high-quality, patient-centered care for individuals with complex benign gynecologic conditions.

Responsibilities include providing direct clinical support during patient visits, assisting with minor in-office procedures, preparing examination and procedure rooms, and ensuring efficient clinical workflows. The role also encompasses a variety of administrative responsibilities to support daily clinic operations, promote continuity of care, and enhance the overall patient experience. This position requires flexibility to travel between all assigned office locations.

• Reviews and prepares patient charts, obtaining all pertinent documentation for new and postoperative patients.
• Performs clinical intake and obtains vital signs, including height, weight, temperature, and blood pressure.
• May draw blood and administer injections under the immediate supervision of a physician or RN, as permitted by training and scope of practice.
• Chaperones patients and assists physicians during minor surgical procedures and diagnostic examinations, including Pap smears and hysteroscopies.
• Reviews patient laboratory results, communicates abnormal findings to the physician, and follows up with patients regarding treatment plans as directed.
• Documents patient information, clinical activities, and care coordination in the EMR.
• Monitors and responds to EMR in-basket requests daily.
• Prepares patient education packets and pre-operative materials.
• Assists RNs, LPNs, physicians, and other clinical staff with patient care and related clinical duties.

• Schedules outside patient referrals and specialty appointments.
• Reviews charts to ensure referrals, authorizations, and outside specialty appointments are completed prior to the patient's visit.
• Greets patients and visitors, completes clinical intake, and communicates patient arrivals to appropriate clinical staff.
• Checks patients in and out and obtains referrals as appropriately trained and directed.
• Collaborates with Patient Counselors to complete surgical consents and other required forms necessary for authorization and payment processing.
• Answers incoming telephone calls, directs calls appropriately, takes messages, pages physicians when necessary, and responds to patient and hospital inquiries.
• Provides patients and visitors with appropriate directions and assistance.

• Prepares charts and clinic materials for the following day's schedule; creates, files, and retrieves patient charts as needed.
• Maintains clean, organized, and appropriately equipped examination and triage areas.
• Cleans and sterilizes instruments and ensures examination rooms are properly prepared for patient care.
• Stocks examination rooms and triage areas with necessary medical supplies.
• Monitors clinic supply inventory, places orders, and conducts routine checks for expired or soon-to-expire supplies, materials, and medications.
• Maintains organization and order within the reception area.
• Copies and prepares medical records as needed.
• Provides back-up coverage for medical assistants, billing staff, and other administrative functions.
• Assists RNs and LPNs with administrative responsibilities.

• Maintains strict patient confidentiality and safeguards protected health information at all times.
• Follows departmental policies, clinical protocols, infection prevention standards, and applicable regulatory requirements.
• Supports a safe, efficient, and patient-centered clinical environment.
• Escalates clinical, patient, operational, or safety concerns to the appropriate physician, nurse, or supervisor.
• Performs other duties as assigned based on departmental needs.

Minimum Qualifications and Skills:

• Successful completion of an accredited Medical Assistant program (or equivalent military medical training) and current Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA) credential is required.
• Demonstrated commitment to providing exceptional customer service and patient-centered care is required.

Preferred Qualifications:

• Proficiency with electronic health records (EHR) and other computer applications preferred.
• Prior experience in a fast-paced ambulatory or outpatient clinical setting is preferred.
