Job Purpose

 

The purpose of the Scoping & Licensing Specialist role is to support the accurate scoping, quoting and licensing of client projects, ensuring requirements are clearly understood and projects are set up for successful delivery. The role works closely with clients and internal teams to provide accurate information, support efficient project planning and contribute to a high-quality client experience.

Responsibilities

  • →Communicate with clients to gather project requirements and ensure accurate and timely quotations.
  • →Review clinical trial protocols and client request forms to identify relevant information relating to instrument usage and project requirements.
  • →Prepare licensing quotation modules and support clients with changes to project scope, requirements and priorities.
  • →Maintain clear and accurate records of scope changes and project updates.
  • →Research previous translation projects and questionnaires to identify existing work, avoid duplication and determine applicable archive discounts.
  • →Prepare basic and intermediate Linguistic Validation (LV) quotations, including word counts, formatting requirements and estimated resource needs.
  • →Process basic and intermediate Linguistic Validation projects according to client requirements and established procedures.
  • →Coordinate with internal teams to ensure estimates are accurate, achievable and aligned with available resources.
  • →Assign standard and urgent projects to appropriate qualified translators and debriefers based on language, expertise, availability and deadlines.
  • →Ensure translators and other resources receive clear and accurate project instructions.
  • →Coordinate with Finance to support accurate invoicing and payment processing.
  • →Support and improve licensing and repository processes based on client feedback.
  • →Identify and escalate resource, quality or delivery issues when required.
  • →Contribute to process improvements and maintain consistency and quality across deliverables.
  • →Support the onboarding and mentoring of junior team members when required.

 

Requirements

  • Bachelor’s degree with approximately 1–2 years of relevant professional experience preferred.
  • Previous experience in COA licensing and/or Linguistic Validation is highly desirable.
  • Experience with medical terminology, clinical research or related healthcare environments is desirable.
  • Strong research and analytical skills, with the ability to find, interpret, summarise and compile information from different sources.
  • Strong written and verbal communication skills, with confidence communicating with clients and internal stakeholders.
  • Strong planning, organisation and attention to detail, particularly when managing multiple requests and deadlines.
  • Comfortable working in a structured, deadline-driven environment and managing competing priorities.
  • Good problem-solving skills and the ability to work independently with minimal supervision.
  • Ability to understand project requirements and select appropriate resources based on language, expertise, availability and quality requirements.
  • Good working knowledge of Microsoft Office and other business systems, with the ability to learn new tools.
  • Understanding of quality requirements and the ability to work within established QMS processes and standards, including ISO 9001 and ISO 17100.
  • Ability to handle confidential information appropriately and maintain accurate documentation.
