At Carolina Family Estate Planning, we're seeking a dedicated Estate and Trust Administration Legal Assistant to support our clients through one of life's most challenging times-the loss of a loved one. Responsibilities
~1 min readAs an Estate and Trust Administration Legal Assistant, you'll:
- →Work directly with clients to gather accurate information for estate administration.
- →Draft correspondence and legal documents efficiently and with precision.
- →Manage case timelines, ensuring tasks are on track and deadlines are met.
- →Organize and maintain physical and digital files according to established procedures.
- →Review incoming documents and emails, ensuring they are acknowledged and properly documented.
- →Conduct client meetings, including signing appointments, with professionalism and care.
- →Collaborate with team members to deliver the highest level of client service.
- →Regularly meet with your Team Lead to discuss cases, address questions, and pursue learning opportunities.

Requirements
~1 min read- At least 1 year of client-facing experience in a law firm setting.
- A solid understanding of the probate process.
- Excellent communication skills, both written and verbal.
- Proficiency with technology, including Zoom, Google Workspace, Microsoft Office, and legal practice management software (e.g., Actionstep, Clio, Smokeball).
- NC Notary Public certification or willingness to obtain certification.
- Familiarity with ActionStep or similar client management software is a plus.

As a Legal Assistant - Estate and Trust, you will begin your day by reviewing your calendar, case management system, and email to prioritize tasks and ensure deadlines are met.
Your responsibilities will include:
- Scheduling meetings and managing calendars
- Triaging incoming communications
- Maintaining accurate and organized client records
- Drafting and proofreading estate planning and administration documents
- Monitoring deadlines and case progress
- Collaborating closely with attorneys and team members
- Participating in weekly team meetings to review cases and improve processes
In this role, you serve as an essential operational hub for the estate and trust team. Your work allows attorneys to focus on high-level legal counseling while ensuring our clients receive accurate, timely, and professional service.
Schedule: Full-time, Monday through Friday, 8:30 AM - 5:00 PM. Alternative schedules may be considered.
Location:100% in-office at our Cary, NC, location.
