POSITION TITLE:        Case Manager - DOJ

DEPARTMENT:           Refugee and Immigrant Services

REPORTS TO:             Director of Refugee and Immigrant Services

SALARY:                      $20.00 – 23.00/HR

FLSA STATUS:            Non-Exempt

HOURS:                       Full Time/40 hours per week

POSITION SUMMARY: The Case Manager within the Department of Justice (DOJ) plays a crucial role in facilitating and overseeing the progress of cases from initiation to resolution. This position will interact directly with clients, legal professionals, and various agencies to ensure cases are managed efficiently, ethically, and in compliance with all relevant regulations.


IS Case Managers are expected to complete the COIL training and become accredited Department of Justice (DOJ) representative within 6 months of hire.

 

This role is typically office-based with regular hours, though occasional travel and flexible scheduling may be required to meet client and agency needs. Case Managers should be prepared to handle sensitive situations with empathy and professionalism.

ESSENTIAL FUNCTIONS:

 

  • Must be able to obtain Accreditation from the Department of Justice
  • Answer telephone inquiries pursuant to program procedures
  • Complete immigration forms for assigned cases such as N-400, I-912, I-90, I-765, I-812D, and I-821, based on client eligibility using E-Immigration (case management software) and attach all and necessary documentation in proper order.
  • Follow established program protocols and training guidelines, while seeking advice and direction from BIA colleagues, DOJ Accredited Representatives, Staff Attorney and program policies, as needed
  • Make referrals to the program’s Immigration Attorney for complex cases (e.g. those involving criminal history)
  • Follow-up on cases to obtain missing documentation, including any Request for Evidence (RFE), to confirm receipt of notices from the State Department or USCIS, to remind the client of pending deadlines, or to ascertain the outcome of the application
  • Maintain accurate, complete, and confidential case files, both electronic and hard copy
  • Ensure cases are properly closed, physically and electronically, and archived.
  • Compile and submit program reporting and provide required statistics in a timely manner.
  • Keep management informed of complaints, issues and/or problems for timely investigation and resolutions. Log these into E-immigration.
  • Translate documents and accurately assemble applications
  • Participate in departmental meetings, online webinars, and other training opportunities
  • All other duties as assigned.

 

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  • Associate degree or higher
  • Must be able to attend trainings for continuous education
  • Ability to learn quickly and be detailed oriented on assigned immigration-related processes, especially DACA/DAPA, citizenship, status adjustment, and green card replacement
  • Fluent in English and Arabic or Spanish
  • Possess strong organizational skills, attention to detail, and high standards of quality
  • Knowledge and familiarity with the culture and community of immigrant/refugee population(s)
  • Ability to use electronic case management database/software with the facility
  • Ability to work independently and in a team setting
  • Have a cooperative, friendly, and helpful attitude with clients and co-workers.
  • Ability to work closely with other employees to ensure a positive, constructive environment within the program or department, and throughout the agency.
  • Possess passion and enthusiasm for the Mission and values of CCDSD

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Valid California Drivers License and automobile insurance in compliance with Agency requirements.
  • Current CPR and First Aid
  • Successful completion of a DOJ / FBI Live Scan
  • TB Screening

 

PHYSICAL REQUIREMENTS:

Team members will occasionally travel while performing job duties so they will need to be flexible to accommodate client and agency needs.  They also need to be able to sit at a desk and operate a computer for two or more hours.  Occasionally they may be required to lift items up to 10 pounds to a height of up to 3 feet.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
