JOB SUMMARY:
Under the Apprenticeship Program, the Cultural Coordinator (Apprentice) reports directly to the Cultural Program Manager providing administrative support to Chugach Heritage Foundation cultural curriculum. In this two-year on-the-job training position, the Apprentice assists with initiatives including virtual and in-person workshops, the annual Russian New Year Celebration, the regional Nuuciq Spirit Camp, regional cultural camps, and future programming within Village in the City, as well as other special projects related to CHF strategic initiatives, preserving, and perpetuating our language and culture for the future.
CTS administers this internship program on behalf of Chugach Alaska Corporation (CAC). The program is specifically designed for Shareholders and Descendants of CAC, with the goal of building long-term career pathways in cultural stewardship and heritage preservation.
ESSENTIAL DUTIES:
- Provides technical and administrative support for cultural programs to include communications, camp preparation, documentation of processes and procedures, and with the annual inventory process.
- Compiles and maintains file systems such as financials, employee records, contracts, applications, inventories, and meeting notes.
- Supports photo archive from programs.
- Utilizes planning tools to prepare budgets for management review.
- Assists with the design, purchase, and disbursement of promotional items.
- Sets-up, orders, and processes vendor purchases, as well as check requests.
- Prepares invoices and enters expense reports, receipts, and reimbursements into accounting system for approval.
- Assists with new hire paperwork and processing timesheets for seasonal workers.
- Arranges travel, lodging and prepares expense reports for cultural programs.
- Communicates to shareholders and outside organizations regarding program information and efforts of cultural preservation within the Chugach region.
- Attends events or meetings with federal agencies and regional organizations and reports back on topics discussed, action items and recommendations.
- Drafts newsletters, program recaps, quarterly board and grant reports for the Cultural Program Manager.
- Participates in interdepartmental cultural projects or other group projects for the CHF.
- Utilizes online portal software to process applications.
- Schedules, hosts, and takes minutes for virtual and in-person meetings.
- Maintains project tracking documents to support cultural strategic initiatives.
- Researches, completes data entry, and compiles information.
- Picks up and delivers supplies.
- Supports community and regional shareholder events.
- Attends all program participant meetings.
- Performs other related work as assigned.
JOB REQUIREMENTS:
Mandatory:
- Chugach Alaska Corporation Shareholder or descendant of a shareholder.
- At least one (1) year of administrative or customer service experience.
- Demonstrated cultural knowledge or experience.
- Intermediate level working knowledge of Microsoft Word, Excel, PowerPoint, and Outlook.
- Ability to pass a pre-employment background check.
- Ability to complete Training Without Walls program while in the Apprenticeship Program.
- Valid driver’s license with an acceptable driving record.
Knowledge Of:
administrative procedures, policies and practices, operation of common office machinery including copiers, fax machines, computers; and understanding of (or willingness to learn) the Alaska Native Claims Settlement Act (ANCSA) and how it impacts the Chugach Region; and customs of the Alaska Natives of the Chugach Region.
Ability To: maintain strict confidentiality and handle sensitive information with discretion; organize and prioritize projects and complete in accordance with established deadlines; adapts to changing priorities; perform duties in a timely manner; balance multiple tasks and deal with interruptions; communicate effectively orally and in writing with a broad audience; demonstrates the ability to work with a team or independently with little or no supervision; maintain good working relationships with all coworkers and the general public; use good judgement; communicate with a variety of people in a courteous and professional manner; maintain attention to detail; and maintain a professional appearance and work presentation.
