We are hiring a Marketing Project Coordinator to keep marketing work moving. You will be the operational engine that ensures briefs are clear, deadlines are met, handoffs are clean, and nothing falls through the cracks across paid media, lifecycle, brand, and creative.
This role lives in Asana every day. You will own intake, timelines, status reporting, and traffic across the marketing function. When a campaign needs to launch, a creative asset needs to ship, or an email needs to go out, you are the person making sure all the pieces come together on time.
Responsibilities
~1 min read- →Own the marketing intake process. Make sure every request has a clear brief, owner, deliverable, and deadline before work begins.
- →Maintain the marketing project tracker in Asana. Keep tasks, timelines, dependencies, and statuses current so the team always knows what is on track and what is at risk.
- →Run traffic across paid, lifecycle, brand, and creative. Coordinate handoffs between teams so a creative asset arrives in time for a paid launch, an email arrives in time for a campaign, and so on.
- →Schedule and run weekly status meetings, sprint planning, and retrospectives. Capture decisions, action items, and follow-ups.
- →Maintain the marketing calendar of campaigns, launches, events, and key deadlines. Surface conflicts and capacity issues before they become problems.
- →Support the Director with reporting on team throughput, on-time delivery, and bottlenecks.
- Help build and enforce standards for briefs, naming conventions, file organization, and approvals across the marketing function.
- Document workflows and SOPs as the team evolves. Make sure new hires can ramp without tribal knowledge.
- Flag friction in the way work moves. Bring forward ideas to make the operating cadence smoother.
- Partner with team leads across Paid Media, Lifecycle, Creative, and Brand to scope work and set realistic timelines.
- Coordinate with external agency partners (Paid Media, SEO/Organic, PR) on shared deliverables, deadlines, and reviews.
- Support the Events Coordinator on event timelines and cross-functional event work.
This role is accountable for the operational throughput of the marketing function. Success is measured by:
- On-time delivery rate across marketing projects
- Brief quality: requests have what teams need to start work without rework
- Visibility: leadership can see what is in flight, what is at risk, and what is shipping next
- Team experience: marketers spend less time chasing status and more time doing the work
Requirements
~1 min read- 3+ years in project coordination, project management, or operations, ideally inside a marketing team or marketing agency.
- Hands-on fluency with Asana. You can build projects, set up dependencies, manage workloads, and create custom views. Experience with similar tools (Monday, ClickUp, Wrike, Smartsheet) translates.
- Strong organizational and communication skills. You write clear status updates, ask the right questions, and follow up without being asked.
- Comfortable working with multiple stakeholders across functions and seniority levels. You can run a meeting with a Director one hour and chase down a missing asset from a contractor the next.
- Experience in healthcare, behavioral health, wellness, or other high-consideration consumer environments preferred but not required.
- PMP, CAPM, or PMI-ACP certifications are nice to have, not required.
- You take pride in things being completed on time and done well.
- You see process not as bureaucracy but as the way good work gets done predictably.
- You are calm under deadline pressure. When something slips, you focus on fixing it, not on assigning blame.
- You notice the small thing on the timeline that nobody else has caught yet.
- You are confident in your role and are able to ask your colleagues questions to keep them accountable.
