About Your Role



Provides contract administration, document control, and quality assurance support for construction projects by reviewing project documentation, contractor and consultant submittals, invoices, and reports to ensure accuracy, completeness, and compliance with contract requirements and agency standards. Maintains project records, tracks deliverables and deadlines, identifies documentation issues, supports audits and project closeout activities, and coordinates with project stakeholders to ensure contractual and regulatory compliance throughout the project lifecycle.

 


Required Education:

 

  • Graduation from a recognized college or university with a bachelor’s degree in Architecture, Engineering, or Construction Management

 

Required Certification:


  • CTQP Final Estimates Level II certification; or
  •  CTQP Final Estimates Level I with the ability and commitment to obtain Level II within the required timeframe. ValidFlorida Driver's License or
  •  ability to obtain one, if required for project-related travel


Preferred Certification:

  • CTQP Final Estimates Level II.
  • FDOT Construction Training Qualification Program (CTQP) certifications applicable to the assigned work.
  • Project Management Professional (PMP) or
  • Certified Associate in Project Management (CAPM).
  • Certified Construction Manager (CCM).
  • Document control, contract administration, quality management training/certification


What You’ll Need to Get the Job Done

 

  • Minimum of 5 years of experience in contract administration, document control, project controls, quality assurance, construction administration, or project support services.
  • Experience supporting transportation, roadway, highway, bridge, engineering, or construction projects.
  • Working knowledge of construction contract documentation, project records, compliance requirements, and quality assurance processes.
  • Experience reviewing invoices, progress reports, meeting minutes, consultant/contractor submittals, and supporting project documentation.
  • Strong proficiency with Microsoft Office Suite, particularly Excel and Word.
  • Demonstrated attention to detail and ability to independently review documentation for accuracy, completeness, and compliance


What Will Make You Stand Out 

  • Previous experience supporting CFX, FDOT, Florida Turnpike Enterprise, or other Florida transportation agencies.
  • Experience with FDOT construction documentation and final estimates procedures.
  • Experience supporting Construction Engineering and Inspection (CEI) contracts.
  • Experience with large, multi-project transportation capital improvement programs.
  • Familiarity with consultant invoicing, contractor payment documentation, change documentation, and project closeout requirements.
  • Experience supporting internal, external, or agency audits
  • Strong organizational and records-management skills
  • Strong understanding of construction contracts and transportation project documentation.
  • Ability to manage multiple assignments and deadlines across several concurrent projects.
  • Ability to effectively communicate review findings with project managers, engineers, consultants, and contractors
  • Proficiency with Microsoft Excel, Word, Outlook, Teams, and document management system


What You’ll Do

 

  • Conduct independent quality assurance reviews of project documentation, reports, deliverables, and contract records.
  • Verify project documentation for compliance with contract requirements, CFX procedures, applicable agency standards, and established quality procedures.
  • Review consultant and contractor submittals for accuracy, completeness, consistency, and required supporting documentation.
  • Review invoices, progress reports, meeting minutes, payment documentation, and supporting records for consistency and contract compliance.
  • Maintain and monitor document control processes and project records.
  • Track project deliverables, due dates, review comments, and required submissions.
  • Assist with contract administration, project closeout, final estimates, and audit preparation.
  • Support project personnel in maintaining records necessary for agency and contractual compliance.Identify documentation deficiencies, discrepancies, or missing information and recommend corrective actions.
  • Assist with development and implementation of quality assurance and quality control procedures.
  • Prepare review comments, findings, tracking logs, and summary reports.
  • Coordinate with project managers, engineers, consultants, contractors, and CFX representatives regarding documentation and compliance requirements.
  • Support internal, external, and agency audits as required
  • Assist with special project assignments and program-level reporting as requested
