The Fulfillment and returns Specialist is responsible for the packing and presentation of all orders including accurate scanning and vetting processes of Equipment. Responsibilities include the management of physical inventory, management systems, database management, forecasting, requisitioning of internal and external controls and auditing with the objective of maximizing record accuracy and traceability.

Responsibilities

  • Oversee the daily workflow of all returned equipment and incoming orders
  • Ensure timely and accurate check-in of camera, lens, lighting, grip, and accessory equipment
  • Prioritize equipment processing based on upcoming prep schedules and operational demands
  • Maintain organization and cleanliness of the returns area
  • Complete other various tasks as assigned by the Operations Manager
  • Verify returned gear against rental orders and manifests
  • Identify missing, damaged, or non-functional equipment
  • Document equipment condition issues, shortages, and discrepancies
  • Coordinate damaged equipment routing to QC, repair vendors, or internal service teams
  • Ensure inventory status is updated accurately within the rental software system
  • Supervise and support Returns Technicians and department staff
  • Assist with training on proper check-in procedures, equipment handling, and documentation standards
  • Monitor productivity, workflow efficiency, and departmental accountability
  • Foster a positive, team-oriented work environment
  • Communicate closely with:
    • Camera Prep Department
    • QC / Quality Control
    • Shipping & Logistics
    • Operations Management
    • Sales & Client Services
  • Escalate critical issues that may impact upcoming rentals or customer satisfaction
  • Assist in resolving equipment discrepancies and operational conflicts
  • Identify recurring operational and inventory issues and recommend workflow improvements
  • Help develop standardized procedures for returns processing and equipment handling
  • Support initiatives that improve efficiency, accuracy, and customer experience
  • Previous experience in a camera rental house, production environment, or technical equipment operation
  • Strong understanding of cinema camera systems, lenses, accessories, and production workflows
  • Leadership or supervisory experience preferred
  • Excellent organizational and communication skills
  • Ability to work in a fast-paced, deadline-driven environment
  • Strong attention to detail and problem-solving ability
