Construction Project Coordinator

Responsibilities

- Conduct follow-up communications to verify receipt of bid invitations and confirm participation.
- Maintain accurate records of subcontractor responses and participation.
- Ensure subcontractors receive current plans, specifications, addenda, and bid documents.
- Track bid activity, subcontractor participation, and estimating schedules.
- Support Project Managers with project startup, documentation, and administrative coordination.
- Maintain project files, drawing logs, RFIs, submittals, change orders, ASIs, RFPs, and project correspondence.
- Prepare meeting agendas, document meeting minutes, and distribute project information.
- Assist with project closeout documentation including O&M manuals, punch lists, warranties, and as-built drawings.
- Monitor project documentation to ensure compliance with contract requirements.
- Assist estimators with bid-day coordination and quantity takeoffs.
- Support pricing research and cost estimate preparation.
- Review solicitations (RFPs/RFQs) and identify proposal compliance requirements.
- Coordinate proposal schedules and gather technical information from subject matter experts.
- Draft, edit, and format proposal documents, capability statements, technical narratives, and past performance information.
- Develop proposal graphics, organizational charts, schedules, workflows, and presentation materials.
- Develop and maintain a centralized subcontractor and vendor database.
- Research and onboard new subcontractors to expand market coverage.
- Track subcontractor certifications including 8(a), HUBZone, SDVOSB, WOSB, and other socioeconomic programs.
- Maintain subcontractor qualifications, capabilities, licensing, insurance, and contact information.
- Represent the company professionally during industry events and conferences.
- Assist with conference preparation, exhibit setup, and marketing materials.
- Support relationship development with subcontractors, vendors, clients, and industry partners.
- Travel to project sites for coordination, documentation, and project support as required.
Requirements
~4 min read- Education and Certifications:
- Associate's degree or Bachelor's degree in Construction Management, Engineering, Business Administration, or a related field, or equivalent combination of education and experience.
- Required Experience and Skills:
- Minimum of three (3) years of experience in construction project coordination, estimating, procurement, or project administration.
- Experience supporting commercial or federal construction projects.
- Strong organizational and documentation management skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Ability to manage multiple deadlines while maintaining exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to travel throughout the Continental United States (CONUS) as project requirements dictate.
- Preferred Qualifications
- Experience supporting federal construction contracts.
- Familiarity with USACE RMS, Procore, Primavera P6, Microsoft Project, or similar construction management software.
- Experience with proposal development for government contracts.
- Knowledge of FAR, DFARS, and federal procurement processes.
- Experience using Adobe Creative Suite, InDesign, Bluebeam, or similar graphic and document production software.
- Experience supporting Design-Bid-Build and Design-Build construction projects.

- Ability to prioritize competing deadlines in a fast-paced environment.
- Excellent customer service and relationship management skills.
- Strong technical writing and editing abilities.
- Ability to communicate effectively with subcontractors, vendors, clients, and internal stakeholders.
- Proficiency in document control and information management.
- Ability to work independently while collaborating across multiple teams.
- Strong analytical and problem-solving skills.
- Commitment to quality, professionalism, and continuous improvement.
- Physical Requirements
- Prolonged periods of sitting while working at a computer.
- Occasional standing, walking, bending, lifting, and carrying materials up to 25 pounds.
- Ability to travel to construction sites and navigate active project environments.
- Ability to safely access project sites while wearing required personal protective equipment (PPE).
