San Diego State University is seeking a customer-focused and detail-oriented Cashiering Reconciliation Specialist to support the University Bursar’s Office by providing student account services, processing financial transactions, and ensuring compliance with university, state, and federal policies. This role serves as a key resource for students, parents, faculty, and staff while supporting accurate financial operations and student success.

Responsibilities

  • Financial Processing & Account Reconciliation
    • Process student account transactions, including refunds, billings, account adjustments, and payment reconciliations.
    • Reconcile daily financial activity, prepare reports, support campus audits, and ensure accurate financial records.
    • Maintain data integrity by reviewing transactions and resolving discrepancies in compliance with university policies.
  • Student Account Services & Customer Support
    • Assist students, parents, and campus partners with inquiries related to student accounts, payments, financial aid, refunds, and account access.
    • Review and process student account documents, explain university policies, and resolve account-related issues, including collections and payment concerns.
    • Provide guidance to new staff and student assistants to support quality customer service.
  • Campus Collaboration & Program Support
    • Partner with campus departments to support student programs, enrollment services, and financial aid initiatives.
    • Coordinate specialized programs, participate in committees, and provide guidance on Bursar's Office policies and procedures.

  • This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

The Division of Business and Financial Affairs (BFA) is at the heart of some of the larger projects on campus in recent years, including the construction of Snapdragon Stadium, as well as the implementation of my.SDSU on campus. As part of BFA, the Department of Financial Operations is responsible for the financial and budgetary controls and procedures of the University and is directly responsible to the Vice President for Business and Financial Affairs. The Associate Vice President for Financial Operations has responsibility for Budget and Finance, Procure to Pay, Audit and Continuous Improvement, Shared Services, and the University Controller’s Office, which includes the University Bursar’s Office, Accounting Services, Financial Reporting, and Financial Systems Management and Analysis.

The University Controller is responsible for the maintenance of the University’s budgetary, receipt and disbursement (expenditure) general and subsidiary ledgers for all University Funds. Through the Accounting Services and Financial Reporting Departments, the University Controller oversees and coordinates the analysis, reconciliation and reporting of all financial transactions of the University, including cash receipt processing, student refunds, financial aid disbursements, billing/collections and reconciliations, and management of the diverse services provided by the SDSU ID Card as performed by the SDSUCard Office. The University Controller is responsible for internal and external reporting including Legal/Budgetary Basis, Financial Information Record Management System (FIRMS) and Generally Accepted Accounting Principles (GAAP). The University Controller reports directly to the Associate Vice President for Financial Operations.

The University Bursar’s Office is a customer service oriented group that interacts with students on a regular basis. The University Bursar is responsible for University cashiering operations, student billing and collections, the student direct deposit process, campus fee reporting and reconciliation and check printing. Collections and a portion of the fiscal recordkeeping for various loan programs also fall under the responsibility of the University Bursar’s office. The University Bursar is also the liaison with the Student Financial Center and the Financial Aid Office, which all work together to ensure our students’ financial transactions are properly processed.

Requirements

  • Prior customer service experience.
  • Thorough knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices.
  • Experience applying accounting procedures and practices to the analysis of basic accounting problems.
  • Experience in analyzing and interpreting accounting data.
  • Experience applying problem-solving techniques in finding solutions to basic accounting problems.
  • Ability to provide accurate information and explain University policies and procedures to Students, Staff and Parents.
  • Ability to work closely and cooperatively with various campus departments.
  • Experience in a university student account or cashiering environment preferred.
  • Experience using an enterprise computer system preferred.
