Under the direction of the Department Specialist, coordinates an office of approximately 95 academic employees, which includes 23 tenured/tenure-track faculty 1 FERP, 40 Lecturers, 17 Teaching Associates, and 14 Graduate Assistants; ftes of 1,215.80 with three BAs (1,084) majors and second majors, a minor (61) and an MA (23). Serves as the primary resource for information regarding Department policy and practice for faculty, students, and staff providing continuity in policy and procedure; maintains Department budget and records; and particularly budget and travel.
Responsibilities

This position is a highly organized and proactive administrative professional with demonstrated experience in budget and fiscal management, including maintaining financial records, monitoring account balances, processing expenditures, preparing budget projections, coordinating purchases, obtaining quotes, processing requisitions, and managing travel-related documentation. They possess a thorough understanding of departmental and university policies, procedures, and practices, ensuring consistent application while identifying opportunities for process improvements and recommending effective solutions that align with institutional guidelines.
The successful candidate serves as a central point of communication for students, faculty, administrators, and the public, providing exceptional customer service and accurate information regarding academic programs, university policies, procedures, forms, and petitions. They effectively coordinate with internal and external stakeholders, assist with course scheduling and classroom resource planning, maintain scheduling databases, prepare and update departmental reports, and support the development and editing of departmental publications and catalog materials.
In addition, the ideal candidate demonstrates strong record-keeping and administrative skills, maintaining student, personnel, and departmental records; managing correspondence; preparing reports and written materials; coordinating textbook orders and course materials; tracking inventory; and supporting faculty with a variety of clerical and project-related needs. They assist with recruitment and personnel processes, ensure compliance with hiring requirements, and contribute to the planning and execution of departmental events and activities. With exceptional attention to detail, strong organizational abilities, and the flexibility to support assistants, coordinators, chairs, faculty, and students on a wide range of projects and assignments, the ideal candidate plays a key role in ensuring the efficient and effective operation of the department.

• Equivalent to five years of administrative support experience required.
