Position Summary
Vensure Employer Solutions is seeking an experienced Payroll Supervisor to provide day-to-day operational leadership for a team of Senior Payroll Specialists, Payroll Specialists, Payroll Assistants, and Payroll Associates supporting the organization's client payroll function.
The Payroll Supervisor will be responsible for ensuring payrolls are processed accurately, efficiently, and on schedule, while providing coaching, escalation support, quality control, and process improvement leadership.
The ideal candidate has strong experience with Canadian payroll, multi-provincial payroll processing, payroll systems, payroll compliance, and team supervision, along with excellent communication skills in both English and French.
Essential Duties & Responsibilities
• Provide day-to-day operational leadership and direction for the payroll team.
• Supervise and support Senior Payroll Specialists, Payroll Specialists, Payroll Assistants, and Payroll Associates.
• Ensure all client payrolls are completed accurately and according to established deadlines.
• Monitor team workloads, productivity, accuracy, and service levels.
• Serve as a second-level escalation point for complex payroll issues and client-related payroll concerns.
• Coach employees and provide ongoing feedback, development, and performance guidance.
• Conduct performance reviews and participate in progressive discipline when necessary.
• Review and approve PTO and employee timecards.
• Assist team members with complex payroll calculations and processing issues.
• Review payroll data, including employee changes, overtime, bonuses, deductions, benefits, garnishments, and tax-related adjustments.
• Ensure payroll calculations and deductions are accurate and compliant with applicable requirements.
• Support payroll tax filings and other payroll-related compliance activities.
• Prepare and review payroll reports and summaries covering earnings, taxes, deductions, leave, retirement savings, and benefits.
• Assist with current-year and prior-year payroll voids and adjustments.
• Analyze payroll problems, determine appropriate resolutions, and communicate solutions effectively.
• Respond to payroll-related questions, requests, and escalations.
• Develop and implement best practices designed to improve payroll efficiency, accuracy, and service quality.
• Review existing payroll procedures and recommend improvements.
• Ensure established payroll policies, procedures, and controls are consistently followed.
• Work collaboratively with other departments to resolve payroll issues and improve client service.
• Stay informed regarding applicable federal, provincial, and local payroll requirements.
• Participate in the hiring and onboarding process for payroll team members.
• Prepare and lead departmental meetings.
• Support additional payroll projects and operational initiatives as assigned.
Knowledge, Skills & Abilities
• Strong understanding of Canadian payroll processing and payroll practices.
• Experience working with multi-provincial Canadian payroll.
• Strong knowledge of payroll calculations, deductions, taxes, benefits, garnishments, overtime, bonuses, and payroll adjustments.
• Strong organizational and time-management skills.
• Ability to prioritize competing deadlines in a high-volume payroll environment.
• Strong analytical and problem-solving abilities.
• Demonstrated ability to make sound judgment calls when addressing payroll issues.
• Ability to work effectively under pressure while maintaining accuracy.
• Strong leadership, coaching, and employee development skills.
• Excellent written and verbal communication skills.
• Ability to adapt communication style to different audiences.
• Strong collaboration skills with internal departments and cross-functional teams.
• Self-motivated and capable of working independently with minimal supervision.
• Strong accountability and attention to detail.
• Proficiency with Microsoft Office, particularly Excel and Outlook.
• Ability to identify opportunities for process improvement and operational efficiencies.
Education & Experience
• High School Diploma or equivalent combination of experience, skills, education, certifications, or relevant job training required.
• 5–7 years of payroll processing experience, preferably within payroll services, PEO, HCM, HR services, or a similar environment.
• Demonstrated experience handling or managing multi-provincial Canadian payroll.
• Experience working with Canadian payroll systems and high-volume payroll processing.
• Previous experience supervising, leading, coaching, or mentoring payroll professionals strongly preferred.
• Experience with payroll compliance and Canadian federal/provincial payroll requirements.
• Bilingual proficiency in French and English required.
Vensure welcomes candidates whose qualifications have been developed through non-traditional education, professional certifications, specialized training, or equivalent hands-on experience.
Required Certifications
• PCP (Payroll Compliance Practitioner) or PLP (Payroll Leadership Professional) certification required.
• Certified Payroll Manager (CPM) designation strongly preferred.
What We’re Looking For
The strongest candidates will bring:
• 5–7 years of hands-on Canadian payroll experience
• Multi-provincial payroll experience
• Previous payroll team leadership or supervisory experience
• Strong payroll compliance knowledge
• PCP or PLP certification
• French/English bilingual proficiency
• Experience in payroll services, HCM, PEO, HR services, or a similar environment
• Strong Excel and payroll-system skills
• A proven track record of meeting strict payroll deadlines while maintaining accuracy
• A hands-on leadership style with the ability to coach and develop payroll professionals
