Provide dedicated support to the Enablement Marketing Manager, acting as a trusted partner to manage schedules, communications, and priorities. Please Note: We believe in the value of in-person collaboration! This is a full-time, on-site role at our Melbourne CBD office, where you’ll work closely with our dynamic team to drive innovation and growth.

  • Manage and maintain marketing team documentation, filing systems, and shared drives
  • Coordinate purchase orders, invoices, and budget tracking in collaboration with finance
  • Maintain marketing team calendars, templates, and asset libraries
  • Manage subscriptions, software licences, and vendor relationships
  • Schedule, prepare agendas for, and take minutes at key marketing meetings
  • Distribute action items and follow up on outstanding tasks post-meeting
  • Support internal communications and announcements across the marketing function
  • Assist in preparing presentations, reports, and team briefings
  • Support the Marketing Enablement Manager in tracking project timelines and deliverables
  • Maintain and update the marketing project management tool (e.g. Notion and Confluence)
  • Monitor campaign deadlines and flag risks or delays to relevant stakeholders
  • Assist in planning and executing internal and external marketing events
  • Coordinate logistics including venue, catering, AV, and supplier management
  • Manage event timelines, run sheets, and post-event reporting
  • Support branded merchandise and gifting initiatives
  • Maintain and organise the marketing team's resource and asset library
  • Ensure brand assets, templates, and guidelines are current and accessible
  • Assist in coordinating agency and freelancer briefs, contracts, and deliverables
  • Support the rollout of new tools, platforms, or processes across the team
  • Serve as the primary point of contact between marketing, project stakeholders, and relevant departments, ensuring seamless communication.
  • Organise and facilitate regular project updates, status meetings, and feedback sessions to keep stakeholders aligned.
  • Support the management of marketing inboxes and shared communication channels
  • Act as a first point of contact for internal stakeholder requests to the marketing team
  • Liaise with external vendors, agencies, and partners as required
  • Identify and implement improvements to streamline workflows, enhancing overall team efficiency and project delivery.
  • Partner with the Marketing Operations team to optimise processes, improving resource allocation and minimising redundancies.
  • Ensure that all project deliverables meet Easygo’s quality standards, brand guidelines, and creative objectives.
  • Conduct final reviews of campaign materials to verify alignment with the creative brief and brand messaging.
  • Use data insights to inform project planning, enhance outcomes, and identify areas for improvement.
  • Collaborate with analytics teams to set KPIs for campaigns, establishing measurable, outcome-focused success criteria.
  • Assist in coordinating team travel arrangements, including flights, accommodation, visa applications, and itineraries, alongside Travel Coordinator
  • Handle personal logistics for the CMO as required at an ad hoc basis
  • Act as a liaison between the LT and internal/external stakeholders, managing communications with professionalism and discretion
  • Prepare briefing materials, agendas, and supporting documents for leadership meetings

Responsibilities

  • Experience: 2~ years in a marketing operations, project coordination, or executive assistant role
  • Project Management: Proficient in tools such as Asana, Monday.com, or similar
  • Communication: Excellent written and verbal communication skills
  • Organisation: Exceptional attention to detail and ability to manage multiple priorities
  • Tech Proficiency: Confident using Google Workspace, Microsoft Office Suite
  • Budget Tracking: Experience supporting budget management and PO processes
  • Stakeholder Management: Comfortable working across teams and with senior stakeholders
  • Process Orientation: Experience creating or maintaining SOPs and process documentation
  • Adaptability: Thrives in a fast-paced, high-growth environment
  • Confidentiality: Ability to handle sensitive information with discretion

Nice to Have

  • Industry Experience: Background in gaming, tech, or entertainment industries
  • Marketing Knowledge: Familiarity with campaign management or digital marketing workflows
  • Event Coordination: Prior experience coordinating events or activations
  • Design Tools: Basic proficiency in Canva or Adobe Creative Suite
  • CRM/Marketing Platforms: Exposure to HubSpot, Salesforce, or similar platforms
